Viewing your Auction Results and Bid History in-Dashboard
The Webtron Dashboard will give you a snapshot of your Auction Results in the Summary Table and a full Bid History for each Lot inside the Bid Table for each Auction.
This guide is focussed on the Auction Results Export, which can be generated from the View Auctions page.
Generating the Auction Results Export
Security Recommendation – The Auction Results export contains sensitive Bidder information as detailed below, we wholeheartedly recommend destroying/deleting the export file once you have finished using/reviewing it.
Whilst your Auction is running or any time after it has concluded, you can also generate an Auction Results export from the Auctions & Items > View Auctions > Actions, with an Export option appearing inside the Actions button for each Auction.
For exporting your final Auction Results, we recommend clicking using Export option after your last Lot has closed or you have moved your Auction to Reconciliation status.
Step 1 – Navigate to the Auctions & Items > View Auctions menu
First, navigate to the View Auctions page inside the Webtron Dashboard by clicking Auctions & Items dropdown, then click View Auctions. Once the View Auctions page loads, we recommend applying the Reconciliation filter via the Modify Filter panel, if you haven’t done so already:
Step 2 – Click the Export button inside the Actions button
On the right-hand side of the Auctions table, click the Actionsbutton. Each Auction (table row) will contain it’s own Action button. Click the Export option inside the Actions button to generate and download the Auction Results spreadsheet (export.csv):
The Auction Results export will contain different details depending on your Auction Type and whether your Auction is still open/running, such as;
State – This details if the Lot is in Draft, Preview, Open, Sold Bidding, Unsold, Suspended or Withdrawn.
Hammer – Amount the Lot has Sold for (Timed Auctions and Marketplace only).
Highest Bid – Current Highest Bid amount for both Selling, Sold and Unsold Lots.
Bidder Contact Details – The Full Name, Email Address, Address and Contact Details (Main and Mobile Number) for the Highest Bidder on that Item.
Per-Item and Quantities Note – If your Timed Auction Lots are set to Bidding Type: Per Item, the Hammer column (Column I) will contain the Highest Bid for that Lot, whilst the Value column (Column L) will contain the sum total of the Quantity x the Hammer Price. The amount under the Value column is what the winning Bidder will be charged for that Lot (exclusive of your Buyers Premium and Additional Taxes).
Step 3 (Optional, but recommended) – Use Excel’s Sort and Filter feature to show Sold Items only
The Auction Results export spreadsheet segments your results into columns. Under the column labelled State (Column H) you’ll find each Item’s status.
To show only Items in Sold Bidding status, inside the Home tab in Excel, look to the right-hand side of the window and click Sort & Filter, then click Filter. This will activate a dropdown arrow contained within each Column’s heading. Click the dropdown arrow for the State column (Column H) then untick the checkbox next to the Unsold option:
Excel will now filter your spreadsheet to show only Items in Sold Bidding status.
Important Information – Amounts detailed in the Auction Results export (Hammer, Highest Bid, Value etc.) are simple figures, they do not take into account your set Buyer’s Premium and additional taxes and fees for each Lot.
The Auction Results export can be retrieved from the Webtron Dashboard at any point, regardless of the Auction’s age or status.
Data Security Warning
Columns Q to AC in the Auction Results Export contain the Highest Bidder’s contact information (Email Address, Name, Address, Contact Numbers):
We heavily recommend destroying the Auction Results Export file once you have fully reconciled all invoices and payments for this Auction.
