This guide covers what happens when a Bidder chooses to Skip or Fails Verification through our Stripe Bidder Verification module, and what your Dashboard Admins will need to do to manually Approve these Bidders.
Tutorial Video – Manually Approving Registrants – Verification Edition
Insufficient Data Status Overview
If a Bidder chooses to Skip Verification or the details they provide are invalid and Fail Verification, after they proceed with registering for your Auction (Accepting your Terms and Conditions) they will be automatically moved to Insufficient Data status and will be unable to interact with your Auction (place Bids, Buy or submit offers for Items) unless manually Approved by your Dashboard Admins.
From the Bidder’s perspective, they’ll see the More Information Required for Registration message and receive an automatic email instructing them to provide the Verification documents you require before they can be manually Approved:
Your Dashboard Admins will also receive a User Verification Alert email notification, which will contain the Bidder’s Username, some instructions on Manual Approval and a link back to the Webtron Dashboard:
Viewing and Managing Bidders in Insufficient Data status
If you need to view a list of Bidders in Insufficient Data and if you also decide to manually approve those Bidders, you can do so easily from the Webtron Dashboard.
Step 1: Accessing the Auction Registrations List with Insufficient Data status pre-filtered
Once logged in to the Webtron Dashboard, you’ll land on the Dashboard Home page. Look to the centre of your screen for the Actions Required table. The Actions Required table will display an Auction in each row with any outstanding Admin Action requests, the Action type and number of actions required are listed in each column:
- Pending Bidders
- Pending Offers
- Deposit Issues (No longer supported)
- Insufficient Data
The number under each Column acts as a link to the menu that request can be actioned from, click on the number under the Insufficient Data column to open the Auction Registrations List with Insufficient Data status pre-filtered:
Step 2: Manually Approving and Whitelisting Bidders in Insufficient Data status
The Auction Registrations List will now load and the Registrations table will display only Bidders who are currently in Insufficient Data status in separate rows:
To move a Bidder from Insufficient Data to Approved status, look to the right-hand side of the Registrations table, under the Actions column you’ll find the Approve button. Click the Approve button:
The Registrant Status Change panel will now appear, provide a reason why this Bidder is being Approved (either type one out or tick one of the pre-fills), then click the OK button at the bottom of the panel to confirm:
This Bidder will now be moved to Approved status, will receive an Registration Approved confirmation email and can now interact with your Auction.
Step 3 (Recommended): Whitelisting a Bidder for Auto-Approval on future Registrations
If you would like this Bidder to be auto-approved when they register for one of your future Auctions, and avoid having to be manually approved again, you can do so by granting their account Whitelisted status. From the Auction Registrations List, look to the left-hand side of the table, under the 4th column labelled Whitelist, click the black Star icon:
This will open the Whitelist Confirmation panel, provide a reason why you are Whitelisting this Bidder, then click the OK button at the bottom of the panel to confirm and proceed:
The star icon under the Whitelist column will now appear filled, marking this Bidder as Whitelisted.
Whitelisted status can be removed at any point by following the same steps in reverse. Click on the yellow ⭐️ star icon, providing a reason for removal, and clicking the blue OK button to confirm and proceed.
Viewing your full Auction Registration List
Since you’ve accessed the Auction Registration List using the Insufficient Data shortcut, you’ll only see Bidders in Insufficient Data. To view your full Registration List for this Auction, click the yellow Modify Filter button at the top-left of the Registration List menu:
Then tick the following Statuses and click the Apply button:
- Approved
- Pending
- Suspended
- Insufficient Data
The Registrations table will now reload and display the full list of your Auction Registrations in Registration Date order (oldest to newest):
FAQ – Managing Bidders who Skipped or Failed Verification
Q: Do I have to approve bidders in Insufficient Data? Or can I just leave them?
A: It’s entirely up to you, if you don’t want this Bidder to interact with your Auctions, you are free to leave them in Insufficient Data status.
Q: Can someone who Skipped or Failed Verification on one Auction try again on a different Auction?
A: Yes, if a Bidder has Skipped or Failed Verification on one Auction, the next Auction they try to register for will display the Bidder Verification panel and they will have the opportunity to provide valid card details.
Q: If someone skips or failed verification on an Auction, can they try again?
A: Not on that Auction, once in Insufficient Data status, your Bidder will not have the opportunity to retry Verification for that Auction. The Verification module will warn them if they get simple details wrong like an incorrect Card Number, Expiry or CVC and they’ll have the opportunity to fix those details before clicking Verify again, but if they Skip or Failed Verification, that’s it. It’s up to your Dashboard Admins to Approve and Whitelist them, or leave them in Insufficient Data status.
Q: Do I have to whitelist someone I’ve manually approved?
A: No, if you would prefer them to go through Manual Verification for all of your Auctions, you can skip Whitelisting them. We recommend granting Whitelisted status to Bidders who have been manually approved, as it will help speed up the Registration process for genuine Bidders, and allow your Dashboard Admins to focus on new Manual Approval requests.
