Accepting or Rejecting Offers in the Bid Table

Although Offers have their own dedicated Offer Table, we recommend managing your pending offers through the Bid Table as this will help you familiarise with the Bid Table’s additional options, such as Cancelling Bids and Disabling Auto Bids.

Pending Offers Overview

Whenever an Offer is successfully submitted, the Admin accounts on your Purchases list will receive a notification email.

This email will contain the following information:

An offer was made by Bidder_Username (Email Notification Template)

Auction: Auction Title
Item: Lot Number and Lot Title
Ref: Item Reference Number
Vendor: Vendor Name

Offer: (Currency) Offer Amount
Placed on: Time of Offer (Remaining time: Time Remaining until Item End Time)

Current bid for this item: Current Highest Bid (if using Item Type: Lot)
Reserve on this item: Current Reserve Amount (If using Item Type: Lot and Reserves)

InfoNotification List
Your Auctioneer profile houses 3 notification lists for: Purchases (Buy Now and Make Offer), Contact Seller enquiries, and Pending Registrants. If you’re unsure who is on your Notification List or need it updated, let us know via the Get in Touch page.

Managing Offers in the Bid Table

To get started, please ensure you are logged in to the Webtron Dashboard and have Bid Table access.

Step 1: Open the Webtron Dashboard and navigate to the Bid Table

From the Webtron Dashboard home page, click the Auctions & Items dropdown in the sidebar, then click View Auctions:

Once the View Auctions menu loads, look to the right-hand edge of the Auctions table and click the shortcut button, then click the Bid Table link:

Step 2: Open the Item’s Bid and Purchase History

Before proceeding with the rest of this guide, we recommend looking at the top of the Bid Table menu for the Hidden Columns section. We recommend adding the “PURCHASES” column specifically, as this will denote both Buy Now purchase amounts, as well as display Pending Offers, as detailed below.

After the Bid Table loads, Items with pending offers will display a special bell icon and the highest Offer amount under the Purchases column:

Click on the dropdown arrow at the left-hand edge of the Bid Table to open the Bid and Purchase History for that Item:

Step 3: Accept or Reject the Offer

You’ll now see a smaller table with the following columns:

  • Type – This column will display if this is an Offer or a Purchase (Buy Now)
  • Date and Time – These columns will display the date and time the offer was submitted (in your local timezone)
  • Bidder – This column will display the Bidder/Buyer’s username, which will also link to their User profile
  • Amount – This column will display the Offer Amount
  • AB Max – Ignore this column
  • Bid Status – This column will display the Offer’s status (Pending, Accepted, or Rejected)
  • Manage Bid – This column will display the Accept and Reject options for this Offer

Click on either the Accept or Reject button, you’ll then see a confirmation panel at the centre of your screen, click Confirm to proceed:

If Accepted, the Buyer will now receive a notification email confirming that their offer has been accepted, and the Item will be immediately marked as Sold and moved to Closed status.

If Rejected, the Buyer will not receive a notification email but they will see in their Manage Offers panel for that Item that their Offer has been rejected.
