Pulling Consignments from an Auction or the Marketplace

When Withdraw becomes Pull

If their submissions have been approved and assigned to an Auction or the Marketplace, your Vendors have the option to request withdrawal, but there may be instances where you have to sidestep this process and pull a submission before the Auction/linked Item has closed.

There may be a few circumstances that force your Site Managers and Auctioneers to act, these being:

  1. The Vendor is unable to submit the Withdrawal request
  2. The submission has been reviewed again and issues have been found with it
  3. The submission was assigned to the wrong auction or the Marketplace by mistake

Then when and the why may not matter much, but the how does.

1 button, 3 workflows

Pull from Auction appears as a single button on each of your submissions inside the Assigned tab, however this action will present you will 3 possible paths of where to put that submission/what status to move it to:

  1. Approved
  2. Rejected
  3. Archived

We’ll break down the full step-by-step procedure for each of these 3 workflows below.

Pulling a Consignment from an Auction

Step 1: Open the Assigned tab in Manage Consignments

The Pull from Auction action is available inside the Assigned tab in the Manage Consignments menu, to get there from anywhere in VendorPlus+, float your cursor over Consignment Manager, then click Submissions:

Once the Manage Consignment menu finishes loading, click on the Assigned tab. You’ll find the Pull from Auction button listed under the Actions column for each Auction:

Once you click Pull from Auction, a panel will appear at the centre of your screen containing 3 checkboxes. From here, we’ll break down each option in their own Step 2, use the Contents panel to skip ahead as-needed.

Step 2A: Pulling back to Approved

The first checkbox you’ll see in the Pull from Auction panel is Approved, selecting this option will move the submission back from the Assigned tab to the Approved tab and status.

After you tick Approved, fill out the reason why and then enable (or leave disabled) the Notify Vendor toggle, then click Confirm to proceed:

Step 2B: Move to Rejected

The second checkbox you’ll see in the Pull from Auction panel is Rejected, selecting this option will move the submission to the Rejected tab and status, automatically sending out the Consignment Rejected notification.

After you tick Rejected, fill out the reason why (as well as select individual submission fields if applicable), enable Prevent Resubmissions (or leave disabled) then click Confirm to proceed:

Step 2C: Move to Archived

The third checkbox you’ll see in the Pull from Auction panel is Archive, selecting this option will move the submission to the Archived tab and status.

After you tick Archive, fill out the reason why and then enable (or leave disabled) the Notify Vendor toggle, then click Confirm to proceed:

What next?

The Consignment

If returned to Approved status, you can now assign your submission to a different Auction or the Marketplace.

If moved to Rejected status and Prevent Resubmissions was left disabled, your Vendor will receive a notification informing them of your decision, and they will now have the opportunity to resubmit their consignment based on your Reason(s) for Rejection.

If moved to Rejected status and Prevent Resubmissions was enabled, your Vendor will receive a notification informing them of your decision, and they will be unable to resubmit that consignment.

If moved to Archived status, the submission will be automatically deleted after 45 days or can be returned to pending by one of your Site Managers or Auctioneers.

The Linked Item

Regardless of your chosen path, the Linked Item will be handled automatically based on it’s current status. If it is in Live | Synced status, the linked item will be automatically moved to Withdrawn status, whilst if it is in Draft status and hasn’t been synced to the Webtron Dashboard, the linked item will be automatically deleted.

FAQ – Pulling Consignments from an Auction or the Marketplace

For maximum transparency we do recommend enabling Notify Vendor, as they will have received a notification email confirming their consignment has been assigned to an Auction/the Marketplace, and may be confused if they open their My Consignments menu and see it isn’t part of an Auction anymore.
