Create Item Keywords and Spreadsheet Column Headings Defined

All Fields found in the CSV Lotting Spreadsheet, and the Item Creation menu in the Webtron Dashboard are defined below, all required fields are marked with a *, required fields must be filled in and formatting matched in order to successfully Convert and Save your Lots.

Item Type or Type*

There are 3 valid Item Types:

  • Lot (Timed Lot) is for Standard Bidding + a Make Offer or Buy Now Purchase Option in your Timed Auctions
  • Listing is for items that will have only a Make Offer, Tender or Buy Now option with no bid button, valid for both Timed Auctions and the Marketplace.
  • Webcast (Webcast Lot) is for your Webcast Lots

Lot # or Lot Number*

When creating Lots in the Excel Spreadsheet template, you can leave this column blank and the Dashboard will assign a Lot Number to your items in numerical order from the first row downward, alternatively you can manually assign a Lot Number in the Spreadsheet or in the Ghost Item Creation menu. Lot Numbers can contain both Numerical and Alphabetical values. This field is required.

Title*

This is a short one-sentence header that will appear on each of your Lots and Listings, it is the quickest and simplest way to describe what your Lot is, this field is required.

Summary

This is another short one-to-two-sentence description that will appear below the item Title on your Portal, good for quick important details such as Estimates or Item Condition, this field is not required.

Description

This field allows you to describe your Lot in great detail, provide snapshots such as Condition Reports, Lot History or just communicate the fine detail of this Lot. This field supports Basic HTML formatting such as Tables and Hyperlinks, this field is not required.

Category*

Assigning a Category to a Lot will allow your Bidders to easily filter your Auction to find the Lots they’re most interested in, type out the name of a Category and this field will offer a pre-fill. If your Category doesn’t appear or you need a new one set up, email us at support@webtronoa.com. This field is required.

Vendor*

You can assign a Vendor Profile to each or all of your Lots, this allows you to keep track of which Lots comes from which Vendor if you have multiple Vendors in one sale. Vendor details cannot be seen by your Bidders, only admins. You can set up new Vendor Profiles from the Users & Groups > Vendors menu or ask me “How do I create a Vendor”. This field is required.

End Date*

“End Date” – This field will be automatically filled in by the Dashboard once you have imported your Lot Spreadsheet or while you are filling out the Create New Items menu, for Timed Auctions it will match the End Date set in your Auction Settings, for Webcast Auctions it will be a 10-14 day jump from your Auction Start Date, do not set the Auction End Date as the same day as your Webcast. This field is required.

End Time*

“End Time” – This field will be automatically filled in by the Dashboard once you have imported your Lot Spreadsheet or while you are filling out the Create New Items menu, it will match the End Time set in your Auction Settings, enabling Staggered End Times will also be reflected on each Lot, with each Lot or Lot grouping having a different End Time. This field is required.

Buyer’s Premium*

This is the Premium rate value applied to each Lot’s final Hammer Price once the sale has concluded, you can alter it in the Edit Auction menu or on a Lot-by-Lot basis in the Ghost Items or Bulk Edit menus, decimal values are supported. This field is required.

Charges*

“Charges” – This is a flat rate value that can be applied on a per-Lot basis or to all Lots via the Group Edit menu, it is an additional fee that is only reflected if you use our Invoicing Dashboard. This field is not required.

Hammer Tax*

“Hammer Tax” – This is an additional Sales Tax percentage rate that can be applied via the Edit Auction menu or on a Lot-by-Lot basis in the Ghost Items or Bulk Edit menus, it will apply another fee to the final Hammer Value at the conclusion of your sale. This field is not required.

BP Tax*

“BP Tax” – This is an additional Tax percentage rate that can be applied on the Buyer’s Premium value, i.e. the gross amount provided after the Buyer’s Premium rate has been applied to the final Hammer Value. This field is not required.

Charges Tax*

“Charges Tax” – This is an additional Tax percentage rate that can be applied on the Charges value, i.e. the gross Charges amount set on a Lot/Lots. This field is not required.

Currency*

“Currency” – You can change the default Currency for your Sale in the Edit Auction menu or on an Individual Lot via the Ghost Items or Bulk Edit menus, only one Currency can be assigned per Sale/Per Item, ask me “What currencies are supported” for the full List of available Currencies in the Webtron Dashboard. This field is required and will be pre-filled based on your Auctioneer Profile default and Auction settings.

Display Price

“Display Price” – Only valid for the Listing item type, this publicly displays a price on that item but it is not the Buy Now value. This field is not required.

Purchase Option*

“Purchase Option” – There are 4 supported Purchase Options, NONE, BUY_NOW, MAKE_OFFER and TENDER, ask me “What are the valid Purchase Options” for a full explanation of each and which one to use for your Lots. This field is required.

Unit of Measure

“Unit of Measure” – Valid only for the TENDER Purchase Option, contact us to discuss how to use Tender via support@webtronoa.com. This field is not required.

Purchase Price

“Purchase Price” – Valid only for Lots with the BUY_NOW Purchase Option selected, this is the value displayed on the Buy Now button and the amount Bidders can purchase this Lot for. This field is required only for BUY NOW Lots.

Opening Bid*

“Opening Bid” – Sets what price you wish bidding to start at. No Autobids or Offers lower than the amount set can be made by your Bidders, if you have Auto-Increments enabled, this value will also set the opening Increment for this Lot. This field is required.

Bid Increment*

“Bid Increment” – Enter the value by which you want the bidding to increase, this can be edited during an auction via the Bulk Edit menu or the Bid Table, ask me “How do I edit Increments” for instructions. This field is required.

Dynamic Bid Increment – This column will appear if you have Auto-Increments enabled for your Auctions, do not alter the value in this field. If you wish to control Increments on each of your Lots, contact us at support@webtronoa.com. This field is not required, do not fill it in.

Reserve Price

“Reserve Price” – Only valid for Timed Auctions and Marketplace Lots, enter a value here to set a Reserve amount or leave it at 0 to set the Lot as Unreserved. This value can be changed during an auction via the Bulk Edit menu or the Bid Table, ask me “How do I change Reserves” for instructions. This field is not required.

Quantity*

“Quantity” – Set how many units are included in your Lot/Listing. This field is required.

Bidding Type*

“Bidding Type” – Defaults as Per Lot, Per Item is not currently supported. This field is required but we don’t recommend altering it.

Contact Seller

“Contact Seller” – Ticking this option on an Individual Lot or all Lots will enable an “Ask us a Question” button on each Lot, allowing your Bidders to send through questions about a particular Lot which will be communicated to nominated Admins via Email, an Admin can then reply directly to that Bidder via that email. Contact us at support@webtronoa.com or 1300 667 153 to set this option up. This field is not required.

Location

“Location” – This field will be pre-filled by the Auction Location settings in the Edit Auction menu but can be changed on an Individual Lot-by-Lot basis or multiple Lots via the Group Edit menu. This field is not required.
