Setting Auction Viewing and Collection Dates

Dates tab > Auction Viewing and Auction Clearance (Auction Details menu)

The Dates tab inside the Auction Details menu contains two important sections labelled:

  • Auction Viewing (Inspection)
  • Auction Clearance (Collection)

This Guide Chapter defines what each of these options are for, how to configure them and where they appear on your Portal.

Auction Viewing *

Definition – Auction Viewing * (Auction Details) – Auction Viewing is a date and timespan option available in the Dates tab of the Create New Auction and Edit Auction Details menus.

Viewing is our terminology for Inspection, or in other words, if and when your Bidders (and Buyers) can inspect/view the Items on offer in your Auctions. Auction Viewing is broken down into three options:

  • By Appointment Only (Checkbox) – with the options of No, Yes, or Yes with Dates.
  • Viewing Starts and Viewing Ends – configurable Date and Time options.
  • Comment on Viewing – an extra text box where you can type out any additional Inspection/Viewing information for your Bidders.

Is Auction Viewing a Required field? Yes, but only if you choose either the No or Yes with Dates checkbox for the By Appointment Only option, after which you’ll be required to fill in the Viewing Starts and Viewing Ends Dates and Times. If you select the Yes checkbox, you’re not required to fill in the Dates. The Comment on Viewing field is optional regardless of your chosen By Appointment Only setting.

Auction ViewingBy Appointment Only *By Appointment Only appears as the first option under the Auction Viewing section. You are required to select one of three checkboxes:

1. No
2. Yes
3. Yes with Dates
RequiredYes *You must select at least one of the three checkboxes to proceed, Viewing Dates can only be selected if you have chosen either the No or Yes with Dates checkboxes.
VisibilityPublicYour By Appointment Only setting will decide whether the Viewing Dates will appear inside the Essential Information panel (No or Yes with Dates) or if the Viewing Dates will be replaced with the standard “Contact us to arrange an Inspection appointment” message (Yes).

All 3 options appear inside the Essential Information panel, Yes with Dates will display the “Contact us” message alongside your chosen Viewing Dates.
Settings FlexibilityPartial (Per-Auction only)Auction Viewing is set on a per-Auction basis. If Inspection details differ between Items, we recommend specifying that in either the Item Summary or Description.

Auction ViewingViewing Starts and Viewing Ends Dates – 2x Calendar PanelsIf you select either By Appointment Only – No or Yes with Dates, the Viewing Starts and Viewing Ends Date panels will appear.

Click on the Date bar to open the Calendar panel, then click on one of the blue Dates for that month or cycle through the months using the direction arrows at the top-left and top-right of the panel.
RequiredYes *Viewing Starts and Viewing Ends are both required if you choose By Appointment – No or Yes with Dates. You will be unable to save your Auction until you have set both.
Required FormattingThe Viewing Ends Date and Time must be set prior to the Auction Ends Date and Time.To prevent a possible time paradox, the Dashboard will prevent you from saving Viewing Ends Dates and Times that surpass the Auction Ends Date and Time, for obvious reasons.
Auction ViewingViewing Starts and Viewing Ends Times – Hour (h) and Minute (m)4x Dropdown lists containing time incrementsFollowing both the Viewing Starts and Viewing Ends fields, you will find their respective Hour and Minute dropdowns.

The Hour (h) dropdown contains 24-hour time options from 00 (midnight) to 23 (11pm). The Minute (m) dropdown contains 60 minute time options separated into 5 minute increments, i.e. 00 is on the hour, 05 is 5 minutes past the hour.

Auction ViewingComment on Viewing – Text fieldComment on Viewing is a text field that enables you to type out or paste additional Viewing details, such as a contact number, a message regarding Inspection, or alternative Viewing dates. This field is not required and has a character limit of 150.

Where it appears on your Portal:

Your chosen Auction Viewing settings will appear inside the Essential Information panel at the top-right of the Auction Catalogue page for each Auction.

Auction Clearance

Definition – Auction Clearance (Auction Details) – Auction Clearance is a date and timespan option available in the Dates tab of the Create New Auction and Edit Auction Details menus.

Clearance is our terminology for Collection, or in other words, if and when your successful Bidders (and Buyers) can collect the Items they have won in your Auctions. Auction Clearance is broken down into two options:

  • Clearance Starts and Clearance Ends – configurable Date and Time options.
  • Comment on Clearance – an extra text box where you can type out any additional Clearance/Collection information for your Bidders.

Is Auction Clearance a Required field? No, but only if you leave the Clearance Starts and Clearance Ends Dates blank. Comment on Clearance can be used regardless of your Starts and Ends Dates settings.

Where it appears on your Portal:

Your chosen Auction Clearance settings will appear inside the Essential Information panel at the top-right of the Auction Catalogue page for each Auction. If left blank, the entire Auction Clearance section will be automatically hidden.

Webtron Recommendation – Instead of using Auction Clearance, we recommend specifying Collection details such as deadline dates and collection locations using the Supporting Content – Auction Collection Information text box. If you would like to keep collection locations private, you can add those details via the Notes text box when Generating or Editing Invoices in-Dashboard.
