Auction Status – Live to Reconciliation

The process of moving an Auction from Live to Reconciliation status differs slightly between Auction types, this guide covers how to move a Webcast Auction from Live to Reconciliation.

Step 1: Double-check your Item list

For a Webcast Auction, ensure all Lots are either in Sold (Reconciled), or Withdrawn status. To do this, open the Auctions & Items > View Auctions page and click on the # items link to the Item list.

If there are any Webcast Lots in Draft, Preview or Suspended status, tick them using the checkbox on the left-hand side of the table and click the Withdraw action button above the Item list. It’s safe to use the Select All checkbox at the top-left edge of the table, as Lots in Sold – Reconciled status cannot be Withdrawn and will be unaffected.

Once all Unsold Lots are in Withdrawn status, return to the Auctions & Items > View Auctions page.

Step 2: Click Reconcile under the Actions dropdown

Open the Auctions & Items > View Auctions page and click the Actions dropdown on the right-hand side of the Auctions table, then click Reconcile:

This will open a panel with three options:

  1. Proceed (with emails)
  2. Proceed (but don’t send emails)
  3. Cancel

If you are ready to proceed, we recommend clicking Proceed (but don’t send emails), but you can also click Cancel to abort if you aren’t ready to proceed yet.

After clicking Proceed (but don’t send emails), another panel will appear with two options:

  1. Confirm
  2. Cancel

If you’re ready to proceed, click Confirm.

Unsupported Feature – We do not recommend clicking Proceed (with emails) under any circumstances.

The Dashboard will now load for a moment as it moves your Webcast Auction from Live to Reconciliation status, and a confirmation message will appear once the process has finished.

Click Close to dismiss the confirmation panel, your Webcast Auction will now show as Reconciliation under the Status column.

Modify Filter Notice – By default, the View Auctions page will show Auctions in Live status. Navigating away or refreshing the View Auctions page may cause your Auction in Reconciliation status to disappear from the Auctions table. Click the yellow Modify Filter button at the top-left of the menu, then tick the Reconciliation checkbox and click the blue Apply button at the bottom of the panel. Your Auctions in Reconciliation status will now re-appear inside the Auctions table.

Common Mistakes when Reconciling a Webcast Auction

If you attempt to move a Webcast Auction to Reconciliation status without following the above steps, you may see the following warning message:

“Auction ‘Auction Title’ [Auction ID Number] status unchanged. Unchanged item states – (already reconciled or unable to reconcile) DRAFT/PREVIEW/LIVE/SUSPENDED: Number of Unchanged Items.”

“Unchanged item states” means that you have one or more Lots that can’t be reconciled. The Dashboard will detail which status they are in and how many Lots or Listings are in that status. Follow Step 1 of this guide to move your Webcast Auction Lots to Withdrawn status before attempting Reconciliation again.

The same warning message will appear if you attempt to move your Webcast Auction from Live to Reconciliation before the Auction’s set Start Date and Time.

Common Mistakes when moving Webcast Lots to Withdrawn status

If you attempt to Withdraw a Webcast Lot in Live status that is also still in the Webcast Clerking Ring, you will see the following warning message:

Couldn’t withdraw webcast item as it is currently ‘in-play’.

If you have selected multiple Webcast Lots, the Dashboard will only confirm the number of Lots that have successfully changed status.

To fix this, follow these steps:

Step 1 – Click the Webcast button at the top-right of the menu to open the Webcast Clerking Console

You will need to open the Webcast Clerking Console for this Auction again. When on the Item list, a shortcut to the Webcast Clerking Console is located at the top-right of the page, it’s a small blue button labelled Webcast.

Step 2 – Click Remove from Sale on the Webcast Lot currently in the Clerking Ring

Once the Webcast Clerking Console has finished loading, you should now see the Lot stuck in the ring. Locate the Lot Clerking Control grid on the page, it’s a small 3×3 grid of green buttons, with the last button at the bottom-right of the grid labelled Remove from Sale. Click Remove from Sale to remove the Webcast Lot from the Ring.

Step 3 – Return to the Item List and Withdraw the Webcast Lot again

To return to your Item List, you can click Back on your Web Browser controls, this is typically an arrow pointing left found at the top-left of the browser window. You will see one of two warning messages:

  1. “Are you sure you want to leave this page?” – Click yes or confirm to proceed, then click Withdraw on that Webcast Lot again.
  2. “Confirm Form Resubmission” – If you tried to Withdraw the Lot before opening the Webcast Clerking Console, the browser will ask you to refresh the page to confirm you wish to Withdraw the Lot again, as your request to Withdraw the Lot has been stored on the page. Refresh the page by pressing CTRL and R on your keyboard (Command and R on macOS), the Item list page will then load and your Lot will now appear in Withdrawn status.

A Webcast Auction in Reconciliation or Archived status cannot be restored, Reconciliation and Archiving are final, and all Edit options (as well as Item Export via Bulk Edit) are disabled for those Auctions and their Items.
