Tutorial Video: Manually Approving Bidders – Verification Edition
If you are using our Bidder Card Verification module, we recommend watching the Tutorial Video below as it covers the main status (Insufficient Data) your Bidders will be placed in if they Skip or Fail Verification.
If you are using your Auction Registrations are set to Manual Approval, you’ll find the Approve action in the Webtron Dashboard’s Auction Registrations List menu. This guide also applies to Bidders you have previously moved to Suspended or Insufficient Data status.
Auction Registrations List – Per-Auction Registration Management
Like the Bid Table, each Auction has its own separate Registrations List, which includes bidders who have registered by accepting your Terms and Conditions for that specific Auction.
Your Dashboard Admins can manage the Registration Status of each Bidder inside the Auction Registrations List, and if you are using Manual Registration Approval (Auction Auto-Approval disabled), familiarity with navigating to and using this menu is essential.
To be clear:
If you are using Manual Registration Approval, your Bidders will be in Pending status.
If you are using our Stripe Bidder Verification module (And a Bidder skipped or failed verification), your Bidders will be in Insufficient Data status.
If you have previously applied either the Suspend or Request Further Information action to a Bidder’s Registration status, your Bidders will be in the Suspended or Insufficient Data status respectively.
The process for moving your Bidders to Approved status is the same between all other Registration statuses, the only difference between the statuses listed above is how you can navigate to the Auction Registrations List.
Navigating to the Auction Registrations List – Pending and Insufficient Data status
If your Bidders are in Pending or Insufficient Data status, you’re in luck. The Webtron Dashboard’s Home page houses a handy Actions Required table containing several shortcuts to each Auction’s Registrants List.
Clicking on the # links under Pending Bidders, Deposit Issues or Insufficient Data columns will take you through to the Registrants List for that Auction, with their related filter auto-applied:
Manually Approving a Bidder’s Auction Registration
Now that you’ve opened the Auction Registration List, you can use the blue Approve button under the Actions column to move your Bidder from their current registration status to the Approved status. Here’s how:
Step 1 – Manually Approving and Whitelisting Bidders in Pending, Suspended or Insufficient Data status
The Auction Registrations List will display each Bidder as a row in the Registrations table, you can use the Registration Status column (2nd column from the left) to verify their current status:
On the right-hand side of the table you’ll find a small row of buttons under the Actions column:
- Approve
- Request Deposit (No longer supported)
- Request Further Information
- Suspend
- Notes
To manually approve a bidder, click the white Approve button:
A panel will now appear at the centre of your screen asking you to provide a reason for this Registrant status change, tick one of the Standard Messages to pre-fill the field or type out a reason why manually, then click OK at the bottom of the panel to confirm this bidder’s approval to bid:
That bidder will now receive a confirmation email notifying them that they are approved to bid, and also see a confirmation message on your Portal if they are currently logged into that Auction.
Step 2 (Recommended) – Whitelisting a Bidder for Auto-Approval on future Registrations
If you would like this Bidder to be auto-approved when they register for one of your future Auctions, and avoid having to be manually approved again, you can do so by granting their account Whitelisted status. From the Auction Registrations List, look to the left-hand side of the table, under the 4th column labelled Whitelist, click the empty Star:
This will open the Whitelist Confirmation panel, provide a reason why you are Whitelisting this Bidder, then click the blue OK button at the bottom of the panel to confirm and proceed, the empty star will now appear solid black/filled in.
Whitelisted status can be removed at any point by following the same steps in reverse. Click on the black star icon, providing a reason for removal, and clicking the white OK button to confirm and proceed.
Navigating to the Auction Registrations List – Suspended Status
If your Bidders are in Suspended status, accessing the Auction Registrations List is a slightly longer Navigation Path, but a useful one to remember.
Step 1 – Navigate to the Auctions & Items > View Auctions page and click the # approved link
From the Webtron Dashboard Home page, or any other page or menu in the Webtron Dashboard, click Auctions & Items then click View Auctions:
Once the View Auctions page load, at the centre of your screen you’ll see the Auctions table. Look to the middle-right of the table for the column labelled Bidders. Beneath the Bidders column, click on the # approved link to open the Registration List for that Auction:
Step 2 – Use Modify Filter to hide Approved Bidders and show only Suspended Bidders
After the Auction Registration List opens, look to the top-left of the menu and click on the yellow Modify Filter button to open the Filters panel:
Scroll down until you see the panel section labelled Status, then untick the checkbox next to APPROVED and tick the checkbox next to SUSPENDED. After that, click the blue Apply button at the bottom of the panel to confirm your new Filter:
The Registrations table will now list only Bidders who are currently in the Suspended status for this Auction.
Viewing your full Auction Registration List
Since you’ve accessed the Auction Registration List using either the Insufficient Data or Pending shortcuts, or the # approved link, you’ll only see Bidders in the status filter that was pre-applied based on which link you clicked. To view your full Registration List for this Auction, click the yellow Modify Filter button at the top-left of the Registration List menu, then tick the following Statuses and click the Apply button:
- Pending
- Approved
- Suspended
- Insufficient Data
The Registrations table will now reload and display the full list of your Auction Registrations in Registration Date order (oldest to newest).
