Navigating the Webtron Dashboard

This guide covers how to get from the View Auctions page to virtually every other menu inside the Webtron Dashboard.

First, we’ll briefly define and visualise certain options inside the Dashboard. We describe part of the Dashboard in visual language, or how each option appears when you interact with them. Here’s a quick excerpt from our Navigation Glossary:

Auction Sections

Each Auction you create will contain per-Auction pages and menus, we call these Auction Sections:

  • Preview Auction Details and Edit Auction Details menu
  • Items List
  • Auction Registrations List (AKA Registrant Management menu)
  • Offer Table
  • Bid Table
  • Webcast Clerking Console (Webcast Auctions only)
  • Summary Table
  • Invoice Management menu
  • Translate Auction menu
  • Marketing Data Export menu
  • Invoice Reports menu

Auction Shortcuts

Auction Shortcuts are the unique row of buttons that appear at the top-right of the Webtron Dashboard when inside certain per-Auction Sections, such as; the Edit Auction Details menu, Item List, Invoice Management menu, and more. This row of buttons act as shortcuts to those Auction Sections, saving you from having to navigate back to the View Auctions page:

The Auction Shortcuts and what they open:

  • Details – Opens the Preview Auction Details menu.
  • Items – Opens the Item List for that Auction.
  • Create New Items – Opens the Item Creation menu with that Auction pre-selected.
  • Registrations – Opens the Registrations list for that Auction (with the Pending filter pre-selected).
  • Bid Table – Opens the Bid Table for that Auction, containing the full Bid History for each Item.
  • Offer Table – Opens the Offer Table for that Auction, containing any pending and reviewed (accepted or rejected) Offers.
  • Summary – Opens the Summary Table for Auction, containing a preview of your projected or final Auction Results.
  • Invoices – Opens the Invoice Management menu for that Auction, containing any Generated Invoices (post-auction).
  • Reports – Opens the Invoice Reports menu for that Auction, containing Reports created after clicking Generate Invoices.
  • Webcast – Opens the Webcast Clerking Console for that Auction (appears for Webcast Auctions only).

Button

Most of the Webtron Dashboard is made up of interactive buttons, the most common visual example would be the blue Actions buttons that appear inside the Auctions table on the View Auctions page here:

Clear Field

Clear field is a unique button that appears on a few of the important panels inside the Webtron Dashboard. Clear field appears as a circular red X, most often inside the Modify Filter panels. Clicking the Clear field button will erase any values inside the field they appear next to. We commonly refer to clicking the red Clear field button that appears alongside the Account Created Between option when using the Modify Filter panel inside the Users & Groups > Users menu:

Checkbox

Checkboxes are simple boxes that are used to select options and items or enable/disable certain features, checkboxes appear as empty white boxes with a dark border and, after clicking on a checkbox, it will turn blue and add a white tick inside it to mark that checkbox as ticked. The most common example would be the Select Item checkboxes that appear at the left-hand edge of the Items table:

Unique Checkboxes – Two checkboxes inside the Webtron Dashboard are more visually distinct than the rest, these being the Auction Hidden checkbox and the Contact Seller checkbox. Both appear as a grey circle when disabled, and turn green with a small tick inside when enabled.

Choose Files

Choose Files is a unique button that appears inside the various Upload options inside the Webtron Dashboard. Choose Files is unique in the sense that it is the only button that will interact with your computer (opening your File Explorer), whereas all other buttons in the Webtron Dashboard apply actions to the Dashboard itself (opening pages and panels, saving progress, etc.). An example is the Choose Files button that appears inside the Bulk Upload Images menu:

Date Calendar

The Webtron Dashboard uses Calendar panels to set important Dates, such as your Timed Auctions Start and End Dates. The Date Calendar will pop out after clicking on a Date field:

Date Field

Whilst clicking a Date field will deploy the pop-out Calendar panel, you can also type into a Date field to set the Date manually. Date fields in the Webtron Dashboard follow a Year-Month-Day format, or YYYY-MM-DD.

Date Range

Date Range are two partnered Date fields that set a Start and End Date for a particular option, such as the Auction Starts and Auction Ends dates in the Create/Edit Timed Auction menus. An example of a Date Range are the Date fields in each Modify Filter panel, such as Account Created Between:

Date Validation – Certain Date Range options will control other Date Ranges, such as the relationship between the Auction Ends Date and the Viewing Ends date for a Timed Auction. The Viewing Ends date will check the Auction Ends date you have set and prevent you from saving a Viewing Ends date that is later than the Auction Ends Date (taking into account the Auction End Time and Viewing End Time if both are set to the same Date).

Dropdown

Dropdown are menu options that unfold downwards and display additional options when clicked. We’ll often refer to the main navigation bar as a series of dropdown options, namely; Dashboards, Users & Groups, Auctions & Items, and Content.

Dropdown are also used when setting notable options, such as selecting an Auction Ends Time.

Subtle Visual Differences – Dropdown menus appear slightly different between platforms like macOS, Windows, iOS and Android, but are functionally identical.

Field

The Webtron Dashboard contains multiple types of fields for setting important options from the Auction Title to your Buyer’s Premium percentage, we break down fields into three categories:

Text Field

Text fields are simple fields that can be populated with alphanumeric characters, but are unformatted. An example of a Text field is the Name of Auction or Auction Title field:

Text Box

Text boxes are larger text fields that can be populated with alphanumeric characters, and also contain options for formatting your text (Bold, Italic, etc.) and typically have a larger character limit. Examples of a text box are the Summary and Description fields for each Item:

Unformatted Auction Description – The Auction Description field may appear as a Text Box but is actually a text field and does not currently support formatting.

Number Field

Number fields appear visually similar (slightly shorter) to Text fields but only support numeric values. An example of a number field is the Auction Details > Buyer’s Premium % field:

Decimal Values – Most Number fields support decimal values as a 4-digit structure (i.e. 15% is entered as 15.00 in a number field), but there are some exceptions. The Webtron Dashboard will highlight any number fields that do not support decimal values.

Link

Links appear as clickable blue text that highlighted with a blue underline when hovering you mouse over the text. Several important shortcuts in the Webtron Dashboard use links, such as the Auction Title link (clicking this will open the Preview Auction Details menu), and the Item List link (clicking this will open the Item List for that Auction):

Visual Shorthand

We’ll be referring to each point A to point B as Navigation Paths. We’ll be separating Navigation Paths into two easy-to-follow forms of visual shorthand; Click Paths and Visual Paths.

Click Paths will look like this:

Click the Auctions & Items dropdown, then click View Auctions. Once on the View Auctions page, look to the right-hand side of the page and click the ⋮ Shortcuts button, inside the Shortcuts panel click the Bid Table option.

Click Paths will describe where you need to click in a bit more detail, pointing out where to look, how each click appears (as a dropdown, button, link etc.) and highlighting each step with bold text.

Visual Paths will look like this:

Auctions & Items > View Auctions

Visual Paths follow a colour key:

Per-Auction – This badge will indicate if a path leads to a per-Auction or Auction-specific destination, such as one of the Auction Sections.
Blue – The starting point and page names along the path
Orange – A table, button or option on a page you need to interact with to proceed to the next step
Green – The name of the destination page or option

To get started, log into the Webtron Dashboard and, inside the Dashboard sidebar, click the Auctions & Items dropdown then click View Auctions.

Navigation Paths – Creating a new Auction

The Navigation Paths listed below will use the View Auctions page as a starting point, but also list an Alternative Path if the destination is accessible from inside one of the Auction Sections defined earlier in this guide.

Create a Timed Auction

To create a new Timed Auction in the Webtron Dashboard, follow these paths:

Recommended Path:

On the View Auctions page, look to the top-right of the page and click the New Timed Auction button.

Alternative Path:

Inside the Webtron Dashboard sidebar, click the Auctions & Items dropdown, then click the Create Timed Auction option.

Create a Webcast Auction

To create a new Webcast Auction in the Webtron Dashboard, follow this path:

From anywhere in the Webtron Dashboard look to the left-hand side of your screen, inside the Dashboard sidebar click the Auctions & Items dropdown, then click the Create Webcast Auction option.

View Auctions page > New Webcast Auction or Dashboard sidebar > Auctions & Items > Create Webcast Auction.

Open an Auction’s Item List

To open the Item List for each Auction, follow these paths:

Recommended Path:

On the View Auctions page, look to the middle of the page. Across the top of the Auctions table, look for the column labelled Items, beneath this column, click the blue # items link to open the Item List for that Auction.

Alternative Path (from inside any of the Auction Sections):

If in any Auction Section already, such as the Auction Details menu, scroll up to the top of the page until you see the Auction Shortcuts row, the Items shortcut appears as the second option from the left, click the Items button to open the Item List for that Auction.

Open the list of Approved Bidders (Auction Registrations List)

To open the Auction Registrations List with the Approved (registration status) filter pre-selected, follow this path:

On the View Auctions page, look to the middle of the page. Across the top of the Auctions table, look for the column labelled Bidders, beneath this column, click the blue # approved link to open the Auction Registrations List for that Auction. Please note, clicking the # approved option pre-selects the Approved status filter for that menu. Click the yellow Modify Filter button at the top-left of the menu to select/deselect and apply other filter options.

Open the list of Pending Bidders (Auction Registrations List)

To open the Auction Registrations List with the Pending (registration status) filter pre-selected, follow this path:

On the View Auctions page, look to the middle of the page. Across the top of the Auctions table, look for the column labelled Bidders, beneath this column, click the blue # pending link to open the Auction Registrations List for that Auction. Please note, clicking the # pending option pre-selects the Pending status filter for that menu. Click the yellow Modify Filter button at the top-left of the menu to select/deselect and apply other filter options.

Alternative Path (from the Dashboard Home page):

On the Dashboard Home page, look to the left-hand side of the page, under the Webtron Announcements box you’ll find the Actions Required table. Each row will list an Auction, look to the top of the Actions Required table, under the column labelled Pending Bidders, click the blue # link (may appear as “4” or “1”, depending on your number of Pending Bidders) to open the Auction Registrations List for that Auction with the Pending filter pre-selected.

Navigation Paths – Viewing Bidder and Vendor Lists

Open your Bidder List and show the Full Bidder List (Users List)

To open your Bidder List (Bidders who have completed the Create Account form on your Portal), follow this path:

From anywhere in the Webtron Dashboard, look to the top-left of the page, inside the Dashboard sidebar click the Users & Groups dropdown, then click the Users option at the top of the dropdown list. The Users menu will now display your Bidder List table, containing signups from the last 10-14 days. Look to the top-left of the menu and click the yellow Modify Filter button, inside the Modify Filter panel click the X (Clear Field) button next to the Account Created Between Date Range options, then scroll down and click the blue Apply button at the bottom of the Modify Filter panel. The Dashboard will now load and display your Full Bidder List*.

*Bidder List Display Limit – If you Bidder List grows beyond 1000 Bidders, the Bidder List table will display only the first 1000 Bidders. Click the blue Export these Users button above the table to export the full 1000+ Bidders as a CSV spreadsheet.

Open your Vendors List (Vendor Management menu)

To open your Vendors List, follow this path:

From anywhere in the Webtron Dashboard, look to the top-left of the page, inside the Dashboard sidebar click the Users & Groups dropdown, then click the Vendors option. The Vendor Management menu will now open and display your Vendors List table. (Optional) Clicking the green New Vendor button above the Vendor List table will open the Create Vendor menu.
