Email Routing with Webtron Overview

The Webtron Dashboard generates and sends email notifications to your Bidders on an as-needed basis, these emails being:

  • Account Activation Links – Sent to your bidder once they successfully fill out the Create Account form to verify the email address they provided is valid. Once the bidder hits the link inside that email, they can log in to your Portal.
  • Outbid Notifications – For Timed Auctions, an email notification will be sent whenever a bidder is outbid or their Auto Bid is fully defeated. This email is Lot-specific and contains a link that will take that bidder directly to the Item Details page for whichever Lot they were outbid on.
  • Registration Status Confirmations – These confirmations are sent whenever a bidder’s registration status changes, i.e. if they are approved to bid, suspended from bidding or fail verification.
  • In-Dashboard Invoicing Notifications – If you are using our in-Dashboard Invoicing, when you click Send to Buyer, an email notification will be sent to your bidders informing them that a new invoice is available for them on your Portal.

As part of our white-label service, we will set one of your email addresses as the “From” email address used by the Dashboard:

Having one of your email addresses set as the “From” email address for your Portal has a couple of benefits, most notably:

  • Ease of communication – your bidders can reply to these emails and those replies are sent directly to the inbox of your nominated “From” email address.
  • Bulk Email Compliance – using routed emails gives the emails sent by the Dashboard the best possible conditions for avoiding the Spam/Junk filter.

Whenever an email is generated by the Dashboard, a request will be sent to your email server and, once approved, the email will be sent to your bidder’s inbox. This process is completely automated and usually instantaneous, but we will need to coordinate with your Domain host to ensure email routing is properly set up.

Legal Compliance

As part of our GDPR and Communications Laws compliance, all emails generated and sent by the Webtron Dashboard are transactional in nature, they are not considered marketing but instead essential communications as part of your business operations and communications with your bidders.

Our Recommendations

As of September 1st 2025, both Gmail (Google Mail) and Outlook (Microsoft) now have stricter Bulk Email Compliance rules, meaning that @gmail.com and @outlook.com email address are no longer recommended as the “From” email address for your Portal.

To ensure reliable email service for your bidders, we recommend setting up a Custom Email Domain if you have not already.

As part of the setup process for your Portal, we will reach out to whomever if managing your Domain Hosting or Domain Name Service (DNS) and will provide verification details that will ensure the Webtron Dashboard and your Email Server can communicate.
