Exporting Bidders (Users) from the Webtron Dashboard

When a Bidder fills out the Create Account form on your Portal, they are signing up for a User Account, with their Bidder Profile stored under the Users & Groups > Users menu in the Webtron Dashboard. Their details are viewable inside the Dashboard itself and available for Export at any point, whilst the Audit Trail will retain both their original Account details, and specify any changes made to their Account by both any Client Admins and the Bidder themselves.
The Export These Users button above the User List table will generate an export spreadsheet based on your current filter settings inside the Modify Filter panel, whilst Export All Activated Users will generate an export spreadsheet containing only those Bidders matching your filter and who have also either Activated their own account, by us (Auction Support) or you.
As a quick reminder, we use the term Bidder and User interchangeably, they both mean the same thing. Your Bidders are stored in your Users list, Users is our universal term for both Bidders and Buyers.
Security Recommendation – Whilst your Bidder list can be exported at any point, we heavily recommend destroying any locally stored export spreadsheets once you are finished with them.
Passwords are not stored or viewable inside the Webtron Dashboard, but we still recommend handling and protecting your Bidder’s account details with caution.
Exporting your full Bidder List with Modify Filter
To open up your Bidder List, in the Dashboard sidebar click the Users & Groups dropdown, then click Users:
By default, your Bidder List will display the latest Bidder accounts created over the last 7-14 days.
You can export your full Bidder List in the Users & Groups > Users menu by clicking the yellow Modify Filter button at the top-left of the menu, then click the “X” button next to “Account Created between” filter and click Apply to load your full Bidder List
Please Note – If you have greater than 1000 Bidders, only the first 1000 will be displayed inside the Users menu itself.
The Dashboard will now load (depending on the overall size of your User list, this may take up to 20 seconds). Once loaded, click Export These Users to export a CSV spreadsheet containing your full Bidder List.
Exporting specific groups of Bidders
The Modify Filter menu gives you extensive options for both searching your Bidder List and generating more specific Bidder export spreadsheets.
Dates
You can filter based on date spans, Account Created between (Accounts that were created between the two specified dates, or since the first specified date) and Last Logged In between (Accounts that have been logged into on your Portal since or between your specified dates).
Bidder Details
You can filter based on the details set and provided by a Bidder when they’ve filled out the Create Account form, including;
Username
Email Address
External User Ref (if set by you)
First Name
Last Name
Company
If there are no Bidders matching the details you’ve specified, you’ll see the following message:
Bidder Status
There are several Bidder statuses that can help you narrow down both Bidders needing assistance, and the troublemakers you’ve Locked, including;
Activated – Bidders who have successfully verified their Email Address or have been manually Activated.
Not Activated – Bidders who have not successfully verified their Email Address or are awaiting manual Activation.
Locked – Bidders who have been banned by you, or have attempted to log in with an incorrect password too many times (this Lock is temporary and automatically lifts after 30 minutes).
Not Locked – Bidders who have not been banned and can freely log into their accounts at any point.
Imported – Bidders who have been bulk imported by us contain a special status designating them as Imported, you can view your full Imported list by ticking this checkbox.
Card Verified – Not currently supported.
Phone Number Verified – Not currently supported.
Whitelisted – Bidders who have been manually whitelisted by you, enabling them to be Auto Approved to Bid on your Auctions (Click here to view our Guide on Manually Approving Registrants, and click here to view our Guide on Webtron Bidder Verification).
Red Flagged – Bidders who have been marked as Red Flagged by you or one of your Client Admins either due to misbehaviour or to just monitor their Bidding activity.
Ticking Reset will clear your Filters and re-add the Account Created between date, and ticking Remember these Filters will retain those filters for the duration of your current session in the Dashboard (the Modify Filter filters will reset every time you log out and log back in).
