As part of our in-Dashboard Invoicing service, you have the option of “split‑by‑vendor invoicing”, meaning your bidders get separate invoices for each vendor assigned to the Items in your Auction.
In a nutshell: if a bidder wins lots from multiple Vendors, in-Dashboard Invoicing won’t bundle all of their won items into one invoice. Instead, invoices will be generated on per Vendor basis. So the bidder might receive an invoice for Vendor A (that vendor’s items, item location, BP and fees etc.), and another for Vendor B—each clean, consistent, and tied to the right vendor.
Vendor Privacy Although split-by-vendor will create individual invoices based on the assigned Vendor for each won item, Vendor Information will remain private and your bidders will not see any of the Vendor’s details (Name, Email Address, Contact Numbers etc.) on their Invoice.
Why this helps:
Clearer collection location for bidders: if your Item collection/pickup locations are per-Vendor and you have set per-Item locations via Bulk Edit, the address details listed on your Invoice will be that of the Item Location, not the Auction Location.
Split invoice reports: the Invoice Reports menu will be further broken down by Vendor.
No cross‑wiring: if there’s a question or dispute, each Invoice lists only items for that specific Vendor, not buried in a mixed bill.
How it works in practice:
You run the auction as normal and use Bulk Edit to update the Location details of your Items
When it’s time to invoice, the Webtron Dashboard will generate separate invoices per Vendor for each bidder automatically.
You review, edit and add any additional notes, send, and settle.
Adding Collection Details to Split-by-Vendor Invoices
If you have not set the Location of your Items on a per-Item basis but you are using Split-by-Vendor invoicing, we recommend using the Notes field for each Invoice to provide your bidders with the Collection Details for each Invoice.
Step 1: Reconcile your Auction and Generate your Invoices as-normal
Follow the regular procedure for Reconciling your Auction and generating your Invoices (but do not click Add Notes before clicking Generate Invoices):
Step 2: Confirm the Vendor for each Invoice
Once your Invoices have completed generating, your Invoice list will still be organised in alphabetical debtor order but you may see multiple Invoices (separate invoice rows) with the same Debtor Name, this indicates that bidder has won items from multiple vendors, with each row representing an invoice containing Items from a specific Vendor.
To confirm which Vendor’s Items appear on each Invoice, click the Items dropdown in each Invoice row to expose the Item List for that Invoice, the Vendor’s Ref ID will be listed as a clickable number under the Item List’s Vendor column:
If you’re unsure which Vendor has which Reference ID, inside the Webtron Dashboard sidebar, click the Users & Groups dropdown, then right-click the Vendors option and open it in a new tab:
The Reference ID/Number for each Vendor is listed at the right-hand edge of the Vendors table.
Step 3: Edit your Invoices and add your collection details to the Notes field
We recommend opening the Item List for each Invoice, then after confirming the Vendor for that Invoice, click the Edit button under the actions column.
This will open the Edit Invoice menu for that Invoice, look to the left-hand side of the editor, under the Debtor Details you’ll find the Notes field. Fill in the Notes field with the Collection Details for that Vendor/Invoice (Collection Address, Contact Numbers, Collection Dates etc.), then click Save at the top-left of the Edit Invoice menu:
Your Collection Details Note will now appear under the Total Due figure at the top-left of the Invoice here:
