Whitelisting a Bidder

This guide covers how to grant Whitelisted status to a Bidder in the Webtron Dashboard. Whitelisting a Bidder is necessary for two reasons:

  1. Stripe Verification – This Bidder has Skipped Verification and been manually verified by your Admins.
  2. Manual Verification – This Bidder has been manually verified by your Admins.

Whitelisting a Bidder – the Why

Whitelisting a Bidder is essential if you are using either Manual Bidder Registration Approval or our Stripe Verification module. Granting a bidder’s account Whitelisted status will allow them to bypass Manual Approval and be Auto-Approved to bid on all future Auctions they register for.

For those using our Stripe Verification module, this will prevent your whitelisted Bidders from landing in Insufficient Data status each time they register for an auction.

For those using Manual Bidder Registration Approval, this will prevent your whitelisted Bidders from landing in Pending status each time they register for an auction.

Whitelisting a Bidder – the How

A Bidder’s account can be Whitelisted from three menus in the Webtron Dashboard:

  • The Users & Groups > Users List
  • From the Auction Registrations List (if they have Registered for an Auction)
  • In a Bidder’s Profile inside the Edit tab

We’ll rank each method from Quickest to Slowest below.

Whitelisted Status is not Retroactive – If a Bidder has any Registration’s remain in Pending or Insufficient Data status for any Auction, the Registration status will not change once they are Whitelisted. Whitelisted status will only apply to their future Auction registrations.

Whitelisting a Bidder in the Users & Groups > Users list (Quickest Method)

Step 1 – Navigate to the Users & Groups > Users list and use Modify Filter to search for the Bidder

Navigate to the Users & Groups > Users list. Once the User list table loads, click the yellow Modify Filter button at the top-left of the menu to open the Filters panel and fill in the Filter options to search for the Bidder, then click the blue Apply button at the bottom of the panel:

Step 2 – Click they grey Plus sign under the Whitelisted column and provide an Audit Confirmation message

Once the User list table reloads with your results you’ll find the Whitelist option under the 6th column from the left. If not Whitelisted yet, the Whitelist action will appear as a small grey plus sign. Click the plus sign under the Whitelist column and a Confirmation panel will appear:

Give a reason why this Bidder is being Whitelisted (this is recorded in their Bidder Profile’s Audit Trail) then click the blue OK button at the bottom of the panel to confirm this Bidder’s Whitelisted status:

The Bidder’s Whitelist status will now be indicated with a yellow ⭐️ star under the Whitelisted column and Whitelisted – Yes on their Bidder Profile.

Whitelisting a Bidder from the Auction Registrations List

Bidder not Listed – A Bidder will only appear in an Auction’s Registrations List if they have already registered for that Auction. We recommend using the Users & Groups > Users method listed above for more consistent results.

Your Auction Registration Lists can be accessed via the View Auctions page inside the Webtron Dashboard. Once logged in, navigate to Auctions & Items > View Auctions, then look to the centre-right of the Auctions table. Under the column labelled Bidders, click the # approved link to open the Auction Registrations List for that Auction:

Step 1A (Optional) – Use the Filter/Modify Filter panel to show other Registration Statuses

Clicking the # approved link will pre-filter the Auction Registrations List to show only Bidders in Approved status. If the Bidder you intend to Whitelist is in a different status, click the yellow Modify Filter button at the top-left of the menu to show the Filters panel, then tick any or all of the options listed under the Status section (PENDING, APPROVED, SUSPENDED, INSUFFICIENT_DATA):

Once ticked, click the blue Apply button at the bottom of the panel to apply your Filters and show the other Registration Statuses:

Step 2 – Locate the Bidder and click the grey plus button under the Whitelist column

Once the Auction Registrations List loads, use the Modify Filter panel again to search for your Bidder or press CTRL and F (Command and F on macOS) on your keyboard to open your browser’s Quick Search bar, then type in either the Bidder’s Name, Email Address or a Contact Number. If any Bidders match your search, they will be highlighted in yellow:

After you’ve found your Bidder, click the grey plus sign under the 4th column from the left, this will open the Whitelist Confirmation panel. Fill in a reason why this Bidder is being Whitelisted, then click the blue OK button at the bottom of the panel:

Once you click OK, a yellow ⭐️ star will replace the grey plus sign under the Whitelist column for that Bidder, their Whitelisted status is now active.

Whitelisting a Bidder in their Bidder (User) Profile > Edit tab (Slowest Method)

A Bidder’s Profile will often be linked via their Username in the Webtron Dashboard, such as inside the Bid Table. If you are currently using a menu like the Bid Table or Invoice Management, click a Bidder’s Name/Username to open their Profile:

You’ll land on the Summary tab, look towards the top-half of your screen for a row of blue tabs. Click on the second tab in the row labelled Edit:

From the Edit tab, scroll down until you see a checkbox option labelled “White Listed?” (second-last checkbox). Tick the checkbox for “White Listed?” then click the green Save button below. The Edit Confirmation panel will appear, provide a reason why this Bidder is being Whitelisted, then click the blue OK button at the bottom of the panel to confirm this Bidder’s Whitelist status:

You’ll be returned to the Users & Groups > Users list and see a yellow “User [their username] was saved successfully.” confirmation message across the top of your screen:

FAQ – Whitelisting a Bidder

Q: Can Whitelisted status be revoked? Can I remove the Whitelist status from a Bidder?
A: Yes, follow the Whitelist steps in reverse, clicking on the Whitelist Star will enable you to remove Whitelist status from that Bidder’s account.

Q: If I’m manually approving Auction Registrations, do I have to whitelist bidders?
A: No, it’s not required, however, it may inconvenience returning Bidders if they have to wait to be manually Approved each time they register for your Auctions, so we do heavily recommend making use of the Whitelist status.

Q: If I’m using Stripe Bidder Verification, do I have to whitelist bidders?
A: Yes and no, you only have to Whitelist bidders who chose to Skip Verification, but whilst you’re not required to do this it will result in said bidders being moved to Insufficient Data status every time they register for your future auctions, so we do heavily recommend making use of the Whitelist status for Bidders you have manually verified.

Q: Can I whitelist a Bidder but only for specific Auctions?
A: If you are running your Auctions one-at-a-time, yes, you can always disable/remove a Bidder’s Whitelist status before your next Auction is made Live. If you are running multiple Auctions, no. We recommend using the Suspend or More Information Required actions to manually bar a Bidder from interacting with a specific auction. Whitelist status will auto-approve that Bidder on all of your Auctions they register for whilst their Whitelisted status is active.
