Bidder Information – What they provide and what they can change
On your Portal, Bidders who have filled out the Create Account form are able to Edit some of the details they have provided, these being:
Full Name (First and Last Name)
Company Name
Job Title
Full Address (Address Line 1 and 2, City/Suburb, State/County, Postal/Zip Code, Country and Time Zone)
Contact Numbers (Main Phone Number, Mobile Number, Fax Number)
Their Marketing Preferences (Email Marketing Consent and Favourite Categories)
They are freely able to Edit those details through the My Account page on your Portal at any stage (with the exception of their Username and Email Address).
You can also Edit parts of their Bidder profile inside the Webtron Dashboard, such as:
Email Address
Forename (First Name)
Surname (Last Name)
Activation status (You can manually Activate a Bidder’s account, once Activated it cannot be de-activated.)
Red Flagged – Yes or No
Whitelisted – Yes or No
Account Locked (Banned) – Yes or No
All Edits made by the Bidder or one of your Dashboard Admins is then recorded inside their Bidder profile’s Audit Trail.
Accessing a Bidder’s Audit Trail
Audit Trail appears in several parts of the Webtron Dashboard, most notably the Invoicing menu as well, but the Audit Trail covered in this guide appears inside the Bidder’s profile. To access a Bidder’s Audit Trail, open the Webtron Dashboard, click the Users & Groups dropdown and click Users.
Once your Bidder list has loaded, click the yellow Modify Filter button at the top-left of the Bidder list menu, click X next to the Account Created Between filter, then enter a Bidder’s details into one of the Filter options, such as their First Name and Last Name, or their Email Address. Hit Enter or click the blue Apply button at the bottom of the Modify Filter panel.
Any Bidders matching your set Filter will now appear inside the Bidder list table, click on their Username to open their Bidder profile.
Once their Bidder profile has loaded, you will see a series of blue tabs across the top of their profile, click the last tab labelled Audit Trail.
From here, the best option to choose is the middle button labelled “To or By [Username]”, this will display Edits made by both the Bidder and any of your Dashboard Admins. Clear out the Audit Events Between date and click the blue Apply button on the right-hand side to see this Bidder’s full Audit Trail history.
Bidder Audit Trail – What to look for
The Bidder Audit Trail will organise each entry into columns:
Audit Event Time – The precise Date and Time this Audit entry was logged.
System Message – The Audit Trail category.
User Making Change – Which Dashboard Admin made the change or the Bidder’s username if the change was made by them.
User’s Message – If a Dashboard Admin edits a Bidder’s profile, they must provide a reason why. This is displayed under the User’s Message column for each Audit Trail entry. If a Bidder makes a change to their profile, it will simply say “Public User Event”.
The key to navigating the Bidder Audit Trail is understanding the When (Audit Event Time), the What (System Message), the Who (User Making Change) and the Why (User’s Message).
When it comes to the System Message, the Audit Trail will organise these into three main Categories:
User Created
Edited
In Auction (Auction ID and # of deleted Items)
User Created and Edited are the focus of this Guide, In Auction only applies to Dashboard Admins.
Bidder Audit Trail – Viewing Original Bidder Details and Changes
At the bottom of each of the Bidder’s Audit Trail entries you’ll find a plus sign labelled “Show changes for this audit event”. Clicking this plus sign on the System Message – Edited entries will display the changes made by the Bidder or a Dashboard Admin.
To view a Bidder’s original profile details, scroll to the bottom of their Audit Trail and click the plus sign for their System Message – User Created entry. This will display a full list containing the details they provided when filling out the Create Account form on your Portal.
