Inside the Webtron Dashboard, Creating or Editing an Auction is divided up into 8 tabs; General Settings, Logo, Dates, Location, Documents, Contacts, Supporting Content, and Catalog Config. These tabs make up the core of what we call the Auction Details menu. Each of the tabs contain calendar panels, checkboxes, drag and drop upload areas, dropdowns and text fields that fill in your Auction Details, each tab and options within are defined below, required fields within each tab are marked with a red * star:

General Settings tab (Auction Details menu)

The General Settings tab in the Auction Details menu contains the following fields:

Name of Auction *

Definition – Name of Auction * (Auction Details) – The Name of Auction field sets the overall title of your Auction. The Title appears on the Current Auctions page on your Portal as the clickable link to open the Auction, as well as at the top of the Auction Catalogue page.

Description (Auction Description) *

Definition – Description * (Auction Details) – The Description field inside the General Settings tab is a large text box that sets the Description for your Auction. The Auction Description is the best space for you to provide relevant details to your Bidders, such as important dates, featured Lots, contact information, anything you believe is relevant for your Bidders to know about your Auction. The Description can be up to 3000 characters long.

Currency

Definition – Currency (Auction Details) – Currency inside the General Settings tab appears as a dropdown menu that sets the Currency for your Auction and it’s Items. The currency is set automatically by your Auctioneer profile, but can be changed on both a per-auction and per-item basis. As of February 19th 2025, the supported Currencies available in the Webtron Dashboard are:

Bidding Extension

Definition – Bidding Extension (Auction Details) – Bidding Extension is a dropdown menu inside the General Settings tab that sets the Extension duration for closing Lots, i.e. setting Bidding Extension to 2 minutes means a bid placed in final 2 minutes of a Lot’s countdown will add a 2 minute extension to the countdown. Bidding Extension only applies on Timed Auctions and the Marketplace and only to Items using the Lot Item Type. You can disable the Bidding Extension by opening the dropdown and clicking “no extension” or set a duration. Duration options for Bidding Extension range from:

  • 5 seconds
  • 10 seconds
  • 15 seconds
  • 30 seconds
  • 1 minute
  • 2 minutes
  • 3 minutes
  • 4 minutes
  • 5 minutes
  • 10 minutes

Purchase Cut Off

Definition – Purchase Cut Off (Auction Details) – Purchase Cut Off is a dropdown option in the General Settings tab that sets the cut-off point for Buy Now and Make Offer buttons on Lot Item Type in Timed Auctions and the Marketplace. It controls when these buttons disappear before a Lot closes. The timeframe options range from 1 to 7 days. Both Purchase Cut Off and Bidding Extension can be ignored when setting up a Webcast Auction.

Buyer’s Premium

Definition – Buyer’s Premium * (Auction Details) – Buyer’s Premium is a field inside the General Settings tab that sets the Buyer’s Premium percentage for your Auctions.

VisibilityPublicThe Buyer’s Premium appears prominently on your Portal inside the Essential Information panel for an Auction, the Confirm Bid and Set Auto Bid pop-ups, and the Sale Information panel during the Webcast Live Bidding phase.
Special Field OptionsTreat BP as an AmountTreat BP as an Amount is an option available only in Webtron’s in-Dashboard Invoicing, this toggle allows you to switch the Buyer’s Premium from a percentage derived from the final Hammer amount to a set Buyer’s Premium amount on a per-Item basis when editing an invoice.
Setting FlexibilityFull (Per-Auction and Per-Item)Buyer’s Premium % can be set on a per-auction or per-item basis, the Buyer’s Premium percentage set in the General Settings tab will be automatically assigned to any Created or Imported Items if you leave the Buyer’s Premium column in the Create New Items menu or Item Upload spreadsheet blank.
Pre-filled by Auctioneer profileYesWe can set your default Buyer’s Premium percentage when setting up your Auctioneer profile. You can then update the default Buyer’s Premium pre-fill by navigating to Users & Groups > Auctioneers > click Edit > Main Settings tab > Buyer’s Premium field.

Additional Taxes section (Auction Details)

Definition – Additional Taxes section (Auction Details) – The Additional Taxes section is a group of options inside the Auction Details menu’s General Settings tab, containing the following; the Sales Tax Required checkbox, and the three individual Hammer Tax Rate, BP Tax Rate, and Charges Tax Rate percentage fields.

Sales Tax Required (Auction Details)Checkbox (ticked by default)Definition – Sales Taxes Required (Auction Details) – Sales Taxes Required is a checkbox inside the General Settings tab that hides or shows the additional tax rates available in the Webtron Dashboard. By default, the Sales Taxes Required checkbox is ticked.
RequiredNoThe Sales Tax Required checkbox can be ticked or unticked depending on your Tax Rate needs.
Setting FlexibilityFull (Per-Auction and Per-Item)The Sales Tax Required checkbox can be ticked or unticked on a per-auction basis, and whilst unticking disables the three Tax Rate fields, the Hammer Tax Rate, BP Tax Rate, and Charges Tax Rate can still be changed on a per-item basis for items assigned to that auction.

Setting the Tax Rates at auction-level simply pre-fills them on all Created and Uploaded items. Tax Rates are still fully editable at item-level regardless of your auction settings.
ConditionalYesIf setting Additional Taxes at auction-level, the Sales Taxes Required checkbox must be ticked for all three Tax Rate fields to appear.
VisibilityPublicUnticking the checkbox next to Required will hide the Hammer Tax Rate, BP Tax Rate and Charges Tax Rate options at auction-level in the Essential Information panel, and replace it with a customisable Sales Taxes message.

We recommend leaving Sales Taxes Required ticked, as any Tax Rate set to “0.00” will be hidden from your Portal.
Tax Rates (Auction Details)SectionDefinition – Tax Rates (Auction Details) – The Tax Rates section appears below the Sales Tax Required checkbox in the Auction Details menu. This section contains three options; Hammer Tax Rate, BP Tax Rate and Charges Tax Rate.

Each Tax Rate option appears with slightly different wording in a few areas of both the Webtron Dashboard, Vendor+ and your Portal. (Option) in this context refers to the name of each Tax Rate.

– Your Portal (Essential Information panel, Sale Information panel, Confirm Bid and Set Auto Bid pop-ups, and downloaded Invoices.)

– The Webtron Dashboard (Create Item/Item Upload spreadsheet column, Single-item Edit and Bulk Edit menus)

Hammer Tax Rate (Auction Details option)Decimalised number field (percentage)Definition – Hammer Tax Rate (Auction Details) – Hammer Tax Rate, or Tax on the Hammer Price, is a field inside the General Settings tab that sets the Hammer Tax percentage rate, or Tax rate on the Hammer amount/price.
Levied onThe final Hammer amount.The Hammer Tax rate % is levied on the final Hammer amount (either the Highest/Winning Bid or the Purchase Price on an item).

Hammer Tax % on Hammer amount = Hammer Tax amount.
BP Tax Rate (Auction Details option)Decimalised number field (percentage)Definition – BP Tax Rate (Auction Details) – BP Tax Rate, or Tax on the Buyer’s Premium, is a field inside the General Settings tab that sets the BP Tax percentage rate, or Tax rate on the Buyer’s Premium value derived from the Buyer’s Premium percentage levied on the Hammer amount/price.

Buyer’s Premium % on Hammer amount = BP amount.
BP Tax % on BP Value = BP Tax amount.
Charges Tax Rate (Auction Details option)Decimalised number field (percentage)Definition – Charges Tax Rate (Auction Details) – Charges Tax Rate, or Tax on Charges, is a field inside the General Settings tab that sets the Charges Tax percentage rate that is levied on the optional Charges amount for each Item.

Charges can be set on a per-Item basis as a whole number amount, either during the Create/Upload Item stage or by editing Items later on.

Numbers only
No symbols (except a period “.” to denote decimal values)
Whole numbers only, no symbols, 2-decimal figure. For example, a Hammer tax rate of 10% must be entered as “10.00”. Formatting is uniform for all three Additional Taxes options.
Pre-Filled by Auctioneer SettingsYesWe can set your default Additional Tax values when setting up your Auctioneer profile. These default values will be pre-filled whenever you create a new auction.

You can then update the default Additional Tax pre-fills by navigating to Users & Groups > Auctioneers > click Edit > Financial Details tab > Additional Taxes fields are halfway down the page, beneath Payment Terms.

Default Deposit

Definition – Default Deposit * (Auction Details) – Default Deposit is a field inside the General Settings tab that sets the minimum deposit amount for an Auction. This field is no longer support, do not alter the value in said field as it still requires a minimum 1-digit value, skip to the Logo or Dates tab.

Credit Card Auto-approval Location

Definition – Credit Card Auto-approval Location (Auction Details) – Credit Card Auto-approval Location is a dropdown list inside the General Settings tab. This dropdown no longer applies to our Credit Card User Verification module, ignore it and proceed straight to the Logo or Dates tab.

Logo tab (Auction Details menu)

Definition – the Logo tab inside the Auction Details menu enables you to set an Auction-specific Logo. The logo will appear as the first image on the Current Auctions image carousel for your Auction, as well as at the top-right of the inside the Essential Information panel, and Sale Information panel for Webcast Auctions. Setting an Auction logo is optional.

Dates tab (Auction Details menu)

Options available in the Dates tab will differ depending on which Auction Type you are using, click here to open our Setting Auction Dates guide. Universal Dates like Auction Viewing and Auction Clearance are defined below.

Universal Dates Tab settings:

Auction Viewing (Inspection)

By Appointment Only is a collection of 3 checkboxes that control several conditional fields in the Auction Viewing section. At a minimum, one of the 3 checkboxes is required to be ticked, for the simplest setup, tick the Yes checkbox.

The Viewing Starts and Viewing Ends options are only required and will only appear if By Appointment Only is set to No or Yes with dates.

The Comment on Viewing field below By Appointment Only is optional and can be left blank.

1. No – Setting by Appointment Only to No will enable you to choose a Auction Viewing Start Date and Time, and End Date and Time. If set to No, you are then required to fill in the Date and Time fields beneath the checkbox.

2. Yes – Setting by Appointment Only to Yes will disable the Auction Viewing Starts, and Viewing Ends. This will deploy a message inside the Essential Information panel for that Auction specifying that an appointment is required for inspection.

3. Yes with dates – Setting by Appointment Only to Yes with dates will enable you to choose a Auction Viewing Start Date and Time, and End Date and Time, whilst still deploying the “Appointment for viewing is required” messaging on your Portal. If set to Yes with dates, you are then required to fill in the Date and Time fields beneath the checkbox.

Comment on Viewing?Optional Text fieldComment on Viewing, or Comment on Viewing? as it appears in the Webtron Dashboard, is a text field that enables you to add additional details to the Auction Viewing section, such as contact details, addresses, etc. Simply click on the field and type out the relevant information, or leave it blank.
Required FormattingYes (Viewing Starts and Viewing Ends)We recommend using the Calendar pop-up and clicking a date in the month that appears or using the left and right arrow at the top right of the panel to cycle forward and backward through the Months.

Otherwise the Auction Viewing Start and End Dates can be typed out manually using the YYYY-MM-DD or Year-Month-Day format (i.e. 2025-03-01 is March 1st 2025).

Auction Viewing Start and End Times are set by choosing options from the Hour (h) and Minute (m) dropdown lists.

For Timed Auctions, the Viewing Starts Date and Time can be set to any date and time prior or after the Auction Starts Date and Time, but the Viewing Ends Date must be set to a date and time before the Auction Ends Date and Time.

For Webcast Auctions, the Viewing Starts and Viewing Ends Dates and Times must be set to a date and time before the Webcast Start Time.
VisibilityPublicYour Portal will automatically show the Appointment requirement, Auction Viewing Dates and Times, and Comment on Viewing inside the Essential Information panel for that Auction on your Portal.
Setting FlexibilityPartial (per-auction)Auction Viewing can only be set on a per-auction basis, all Items within that Auction will follow the set Auction Viewing Appointment requirement and Dates.

Auction Clearance (Collection)

Definition – Auction Clearance is an option that appears inside the Dates tab in the Auction Details menu. Auction Clearance functions identically to Auction Viewing, enabling you to set Clearance Starts and Clearance Ends Dates and Times, as well as set a Comment on Clearance message. Auction Clearance is completely optional and Webtron recommends communicating Collection details to winning bidders only, either on the winning bidder’s Invoice or by Mailchimp campaign email.

Location (Auction Details menu)

Definition – the Location tab inside the Auction Details menu enables you to set an Auction Location/Site Address for your Auction.

3. Address Line 2 – The secondary specification or address type for your Auction (PO Box Number, Level, Apartment/Unit Number, etc.).
4. Town or City – The town, village, suburb, or city your Auction is taking place in.
5. County/State – The county, municipality, province, or state your Auction is taking place in.
6. Postal/Zip Code – The Postal or Zip Code of the location your Auction is taking place in.
7. Country – The country your Auction is taking place in (pre-loaded by Auctioneer country by default).

Documents (Auction Details tab)

Definition – the Documents tab inside the Auction Details menu contains a drag-and-drop area and Choose Files button that will upload and assign Document attachments at the Auction level.

Please note – the Documents tab in the Auction Details menu will attach files at the auction level. To attach Documents at the item level, you must Draft and pull your Items into Bulk Edit.
VisibilityPublicYour Bidders can access and download copies of your attached documents on your Portal from the Essential Information panel on the Auction Catalogue page for each Auction.

Contacts (Auction Details tab)

Definition – the Contacts tab inside the Auction Details menu works in concert with the Contacts profile feature found inside the Users & Groups > Contacts menu. Contact profiles bundle together contact details for your Bidders regarding relevant information about your Auction, the Items within, getting approved to bid or collection details.

Webtron RecommendsThe new Contact Us button is a neater alternative.Webtron recommends making use of the new Contact Us panel at the top of your Auction portal to provide your Bidders with a central contact point, as Contact profiles require a Full Name, Email Address and Phone Number, all of which is shown on your Portal.
VisibilityPublicAny assigned Contact profiles will appear in the Essential Information tab in the Auction Catalogue, as well as as a Contacts tab at the bottom of the Sale Information panel during the Webcast Live Bidding phase.

Supporting Content (Auction Details tab)

Definition – Supporting Content appears as a tab inside the Auction Details menu and contains several important pieces of your default Auction Information data; Your Default Terms and Conditions, your default Collection details, your default Payment details, and your Default Auction Registration message. These defaults are automatically assigned to new Auctions upon creation, however, the Supporting Content tab gives you the ability to edit such details on a per-auction basis.

Use Auctioneer Content checkbox – Ticked by default, Use Auctioneer Content is a checkbox that appears inside the Supporting Content tab. The Use Auctioneer Content checkbox controls whether an individual Auction uses your default Auction Information content. Unticking this checkbox will enable you to edit those details for that Auction.

Custom Auction Content – the Supporting Content tab contains an additional text box that is open by default. This Custom Auction Content text box can be relabelled by Webtron and used by your team for a specific purpose, with any additions to this text box appearing inside the Essential Information panel on the Auction Catalogue page, and as the last tab at the bottom of the Sale Information panel during the Webcast Live Bidding phase on your Portal.

If Use Auctioneer Content is unticked:

1. Auction Special Terms and Conditions – Special Terms and Conditions, or AUCTION_INFORMATION_SPECIAL_TERMS_CONDITIONS as it appears in the Supporting Content tab, is a per-auction text box that enables you to set Auction-specific Terms and Conditions.

2. Auction Collection Information – Auction Information Collection, or AUCTION_INFORMATION_COLLECTION as is appears in the Supporting Content tab, is a per-auction text box that enables you to set Auction-specific Collection details.

3. Auction Payment Information – Auction Payment Information, or AUCTION_INFORMATION_PAYMENT as it appears in the Supporting Content tab, is a per-auction text box that enables you to set Auction-specific Payment details. These Payment details are not related to your default Payment Terms.

4. Auction Registration Message – the Auction Registration message, or AUCTION_INFORMATION_REGISTRATION as it appears in the Support Content tab, is a per-auction text box that enables you to set an Auction-specific Registration message. The Auction Registration message appears on the Register for Auction page on your Portal that appears when your Bidders go to Accept your Auction Terms and Conditions and register for that Auction.

Catalog Config (Auction Details tab)

Definition – Catalog Config is a tab that appears inside the Auction Details menu for each Auction. Catalog Config is no longer a supported feature, Webtron recommends ignoring this tab entirely.
