Offer Table – The Offer Table is a menu provided for each individual Auction that allows you to View and Accept or Reject any Offers made on Items using the Make Offer Purchase Option in that Auction. The Offer Table button can be found on each Auction under the Actions column on the right-hand side of the Auctions & Items > View Auction page.
Open Admin
Open Admin – Open Admin refers to a button found under the Settings panel located at the top-right of the Clerking Console. Clicking Open Admin will open a new tab of the Edit Auction menu. We don’t recommend clicking that button during the Live Bidding phase.
Definition – Opening Bid and Starting Bid are the terms we use to define the opening bid amount you can set on a Lot, i.e. what amount the Bidders can place first or where the bidding will begin. Setting an Opening Bid is optional, if set to 0, the Lot will use the set Increment as the Opening Bid amount.
Open Debug Info
Open Debug Info – Open Debug info refers to a button found under the Settings tab on the Clerking Console. Do not use any of the options found in this menu.
Phase
Phase – Phase refers to the two Webcast Auction phases for both the Online Bidding Portal, and the Clerking Console in the Webtron Auction Management Dashboard. The two phases are; Phase 1 – the Pre-Bidding Phase, and Phase 2 – the Live Bidding Phase. The Pre-Bidding Phase is best represented by the Portal User Interface, during this phase a Webcast Auction will mimic the layout of a Timed Auction, and the Clerking Console will remain inert, with all functions disabled. Phase 2 can be initiated early by the Clerk by clicking the green Start Auction button in the Settings menu of the Clerking Console or will start automatically once the Webcast Start Time is reached. The Portal will roll over into the Live Bidding User Interface and all controls will be enabled on the Clerking Console.
Public Vendor Administrators
Public Vendor Administrators – Public Vendor Administrators is a term that refers to both the Privilege and the Vendors menu’s Public Vendor Administrators function. Public Vendor Administrators is a privilege that allows you to partner a User/Bidder’s profile with a Vendor profile. As of January 2024, with the MySales module now considered a Discontinued feature, Public Vendor Administrators currently serves no function and can be ignored.
Purchase Option
Context Category – Platform Terminology, Auction Setup Terminology. Terminology Category – Universal term. Appears in – The Webtron Dashboard, and Vendor+. Alternate Terms – Purchase Configuration, Buy Now option, Make Offer option.
Purchase Option Definitions
Purchase Option is the term we use to denote the additional options available for certain Item Types. The five Purchase Options are; None (NONE), Buy Now (BUY_NOW), Make Offer (MAKE_OFFER), and Tender (TENDER) & Tender Percentage (TENDER_PCT). Definitions for each Purchase Option can be found below:
None (Purchase Option) – None, or NONE as it appears inside the Webtron Dashboard, is the default option for Full Bidding only on items in a Timed or Webcast Auction. Valid for both the Lot (Timed Auction) and Webcast Lot (Webcast Auction) Item Types.
Buy Now (Purchase Option) – Buy Now, or BUY_NOW as it appears inside the Webtron Dashboard, adds an additional Buy Now option for Bidders to instantly purchase that Item at the amount you set under the Purchase Price column. Valid for both the Lot (Timed Auction) and Listing Item Types. Purchases made through the Buy Now option are final and cannot be revoked.
Make Offer (Purchase Option) – Make Offer, or MAKE_OFFER as it appears inside the Webtron Dashboard, adds an additional Make offer option for Bidders to send an offer amount for that Lot or Listing. If enabled, Bidders can make up to 3 offers on an individual Item, with Offers either being Accepted or Rejected by Dashboard Admins via the Offer Table. Purchase Price can be used in conjunction with the Make Offer purchase option to set a hidden minimum acceptable offer amount that will auto-reject any offers below that set Purchase Price. Valid for both the Lot (Timed Auction) and Listing Item Types. Purchases made through Accepted Offers are final and cannot be revoked. An Auction with outstanding offers (not accepted or rejected) cannot be moved from Live to Reconciliation status.
Tender and Tender Percentage – TENDER and TENDER_PCT are purchase options that are not currently supported, attempting to add either option to a Lot or Listing may cause your Auction not to load on your Portal.
Purchase Prices
Purchase Price – Purchase Price refers to the function and field value in the Webtron Auction Management Dashboard > Create New Items menu and Item Upload spreadsheet to set a Purchase Price for Items using the Lot and Listing Item Types and the Buy Now Purchase Option. The Purchase Price is the amount displayed to the Bidder and the amount the Bidder is purchasing that Item for outright.
Quantity
Quantity – Quantity refers to the function and field value in the Webtron Auction Management Dashboard > Create New Items menu and Item Upload spreadsheet to set a total Quantity of available Units for that Item. Quantity is available for the Lot and Webcast Lot Item Types and any Purchase Option. Quantity is alternatively referred to as Number of Units under the Group Edit submenu.
Rate
Rate – Rate refers to wording used in the Webtron Auction Management Dashboard. We use Rate to define a percentage, usually a Tax, such as the Buyer’s Premium rate is 16.5%.
Red Flag – Red Flag is a term/classification that appears on both the Users & Groups > Users menu, the Registrants menu and the Bidder Details > Edit menu. Red Flag is used to mark a Bidder’s account if they have been misbehaving or acting suspiciously, the flag will appear next to that Bidder’s Username on the User list, the Registrant list, the Bid Table and will mark them as Red Flagged > Yes in the User and Registrant Exports, as well as adding them to the Red Flagged list when selected in the Modify Filter panel.
Registrant – Registrant is a universal term that refers to an individual Bidder who as registered for an Auction. A Bidder becomes a Registrant when they Accept the Terms and Conditions for one of your Auctions, this assigns them an auto-generated Paddle Number and adds them to the Registrant list. Depending on the Registration Requirements for your Portal, they will be classified as either an Approved Registrant or a Pending Registrant, you can ask me what each Registrant Classification means, as well as the different Registration Status meanings.
Registration Status – Registration Status is a term that refers to the Bidding status of a Registrant, of which there are four statuses; Approved, Pending, Suspended, Awaiting Deposit, and Insufficient Data. You can ask me for a definition for each, but please note that certain terms such as Approved, Pending, and Suspended have multiple connotations in the Webtron Dashboard, you may get a more concise answer by asking me with “Registration Status” before the word you’d like defined or the classification followed by the term “Registrant”.
Approved Registrant – Approved Registrant is a term/classification referring to a Bidder who has successfully registered or been manually Approved to Bid on an Auction. Approved Registrants can be viewed by clicking the “number approved” text under the Bidders column on the Auctions & Items > View Auctions menu, in that menu they will show a Registration Status of Approved. You can ask me what Registrant Actions are available and what each Action entails.
Pending Registrant – Pending Registrant is a term/classification referring to a Bidder who has registered to bid by Accepting the Terms and Conditions for your Auction but has been placed in Pending Status. What this means for the Bidder is that they can still View the Auction, but they cannot place any Standard Bids or Auto Bids until their Registration is manually Approved by a Client Administrator. The most likely reason they are in Pending status is if they are not Whitelisted and you have Auto Approve All Registrants disabled. As a Client Administrator, you can click Approve to provide an Audit Message and manually Approve them to bid or click Suspend to bar them completely from Bidding, if you would prefer they do not receive any correspondence regarding their Suspension, you can just leave them as Pending. If you are currently enrolled for the Webtron Verification Beta, you must Whitelist any Bidder who choose the Skip Verification option and were then manually Approved by a Client Administrator to prevent them from being sorted into Insufficient Data when registering for your future Auctions.
Suspended Registrant – Suspended Registrant is a term/classification referring to a Bidder who has registered to bid by Accepting the Terms and Conditions for your Auction but has either been manually Suspended by a Client Administrator or failed or skipped a mandatory Verification check. What this means for the Bidder is that they can still View the Auction, but they cannot place any Standard Bids or Auto Bids until their Registration is manually Approved by a Client Administrator. As a Client Administrator, you can click Approve to provide an Audit Message and manually Approve them to bid or click Request Further Information to send out the Additional Information Required email (this email requires setup by a Webtron Staff Member, please contact us on support@webtronoa.com before proceeding with this option for the first time).
Insufficient Data Registrant – Insufficient Data Registrant is a term/classification referring to a Bidder who has been sent the Additional Information Required email by a Client Administrator via the Request Further Information button in the Registrants menu. What this means for the Bidder is that they can still View the Auction, but they cannot place any Standard Bids or Auto Bids until their Registration is manually Approved by a Client Administrator.

Roles and Privileges
Roles and Privileges – Roles and Privileges is the term that refers to the Administrator Access Privilege system used in the Webtron Auction Management Dashboard. For enhanced Security and Role Clarity, the Webtron Dashboard employs different levels of Administrator Access, known as Privileges. Privileges control what a Client Administrator has access to or is restricted from accessing, for example, Webtron Level 4 has full unrestricted access to all Dashboard menus and actions, but cannot export User Data or Auction Data, whereas Webtron Level 5 can. Similarly, Webtron Level 2 can only access the Clerking Console and cannot Create, View, or Edit any Auctions or Items. Unless granted special permission, Client Administrators cannot alter their Privileges.
Room Screen
Room Screen – Room Screen refers to multiple menus and functions in the Webtron Auction Management Dashboard’s Clerking Console. The Room Screen as a function refers to the publically displayable Screen that shows the Current Lot in the Ring, it’s details (Title, Description, Images) as well as the Current Highest Bid (plus if it’s from the Room or the Internet). What displays on the Room Screen is controlled via the Room Screen panel located at the top-right of the Clerking Console, with each element controlled via a checkbox, and an option to display an Item not currently in the Ring.
Sales Taxes
Hammer Tax – Hammer Tax refers to the percentage and function to set a Hammer Tax in the Webtron Auction Management Dashboard. It is a Tax levied against the Hammer Price or Hammer value post-auction. You can set a Hammer Tax on an auction-by-auction basis in the General Settings tab or set a default percentage in your Auctioneer profile under the Financial Details tab.
