Draft to Preview to Live – Drafting, Validating and Approving Timed Items

This guide covers moving your Timed Items (Lots and Listings) between Draft, Preview and Live status.
Status Workflow Rules for Draft, Preview and Live Items
Before we get into the steps of moving between Draft, Preview and Live, keep in mind the following Status Workflow Rules for Items, these are basically what direction an Item can move between statuses, and which ones it can’t.
Draft to Live – Not possible, an Item in Draft can only go in one of three directions:
Draft to Preview – Draft > Validate > Preview
Draft to Suspended – Draft > Suspend > Suspended
Draft to Withdrawn – Draft > Withdraw > Withdrawn
Draft, Preview or Live to Deleted – Not possible, to prevent accidental deletions, all Items must be moved to Withdrawn status first:
Draft to Withdrawn – Draft > Withdraw > Withdrawn
Preview to Withdrawn – Preview > Withdraw > Withdrawn
Live to Withdrawn – Live > Withdraw > Withdrawn
Live to Preview – Not possible, Items cannot be returned from Live to Preview. If you need to make Edits to an Item in Live status, it must be moved back to Draft status:
Live to Draft – Live > Draft > Draft
There are two methods for moving Items from one status to another; Bulk Actions and per-Item Actions. For simplicity’s sake, these guides will contain steps using the Bulk Actions row above the Item List table here:
Draft to Preview – Moving an Item from Draft to Preview status
Step 1 – Navigate to the View Auctions page and open the Item List
Once you’ve logged into the Webtron Dashboard, navigate to the Auctions & Items > View Auctions page:
On the View Auctions page, look to the middle-right of the Auctions table, under the Items column click on the # items link to open the Item List for an Auction:
Step 2 – Select your Item(s) and click the grey Validate button
After clicking the # Items link, the Dashboard will load and display your full Item List for that Auction in a table:
Look to the left-hand edge of the table, each Item Row houses it’s own Select checkbox, with a Select All checkbox found at the top-left of the table.
Select an Individual several Items, then look above the table for the grey Validate button (5th button from the left, sitting between Delete and Approve). Click the grey Validate button, the Confirmation Request panel will then appear, click the green Confirm button to proceed:
The Dashboard will load for a moment and move your selected Item(s) from Draft to Preview status. You’ll see a yellow “# Item(s) changed” message at the top of your screen, and the Item(s) will now show as PREVIEW under the status column:
Actions Column Exception – Validate is the only Action that doesn’t appear under the Actions column for each Item row. Validation can only be applied by selecting the Item first, then using the bulk Validate action above the Item List table.
Preview to Draft – Moving an Item from Preview to Draft status
Preview to Draft is a unique Status Workflow, in that there are two options for moving an Item back from Preview to Draft status:
Draft (Bulk and per-Item Action)
Reject (per-Item Action)
Unique to Items in Preview status, Reject is a per-item Action that will move an Item back from Preview status to Draft status.
Redundant Action Note – Items in both Draft and Preview can be edited (both in per-Item Edit and Bulk Edit) so moving an Item back from Preview to Draft (Rejecting) is largely redundant. Using the Draft Action achieves the same result without such harsh wording. Tl;dr – use Draft instead of Reject.
Step 1 – Navigate to the View Auctions page and open the Item List
Once you’ve logged into the Webtron Dashboard, navigate to the Auctions & Items > View Auctions page:
On the View Auctions page, look to the middle-right of the Auctions table, under the Items column click on the # items link to open the Item List for an Auction:
Step 2 – Select your Item(s) and click the grey Draft button
After clicking the # Items link, the Dashboard will load and display your full Item List for that Auction in a table:
Look to the left-hand edge of the table, each Item Row houses it’s own Select checkbox, with a Select All checkbox found at the top-left of the table.
Select an individual or several Items, then look above the table for the grey Draft button (2nd button from the left, sitting between the blue Bulk Upload Images and grey Bulk Edit buttons). Click the grey Draft button, the Confirmation Request panel will then appear, click the green Confirm button to proceed:
The Dashboard will load for a moment and move your selected Item(s) from Preview to Draft status. You’ll see a yellow “# Item(s) changed” message at the top of your screen, and the Item(s) will now show as DRAFT under the status column:
Draft to Preview to Live – Moving an Item from Draft to Live status
Moving an Item from Draft to Live is a 3-step process, as Items in Draft status can’t be moved straight to Live status.
Step 1 – Navigate to the View Auctions page and open the Item List
Once you’ve logged into the Webtron Dashboard, navigate to the Auctions & Items > View Auctions page:
On the View Auctions page, look to the middle-right of the Auctions table, under the Items column click on the # items link to open the Item List for an Auction:
Step 2 – Select your Item(s) and click the grey Validate button
After clicking the # Items link, the Dashboard will load and display your full Item List for that Auction in a table:
Look to the left-hand edge of the table, each Item Row houses it’s own Select checkbox, with a Select All checkbox found at the top-left of the table.
Select an Individual several Items, then look above the table for the grey Validate button (5th button from the left, sitting between Delete and Approve). Click the grey Validate button, the Confirmation Request panel will then appear, click the green Confirm button to proceed:

Step 3 – Click the grey Approve button
After clicking Validate and Confirm to move your Items to Preview status, the Select checkboxes for your Items should remain ticked. If they do not, tick them again.
Look above the table for the grey Approve button (6th button from the left, sitting between Validate and Suspend). Click the grey Approve button, the Confirmation Request panel will then appear, click the green Confirm button to proceed:
The Dashboard will load for a moment and move your selected Item(s) from Preview to Live status. You’ll see a yellow “# Item(s) changed” message at the top of your screen, and the Item(s) will now show as LIVE under the status column:
Visible on your Portal – Once both your Auction and at least one Item are in Live status (and not Hidden), your Timed Auction will appear on your Portal.

Live to Draft – Moving an Item from Live to Draft status

FAQ – Changing Item Statuses
Q: Why can’t I move an Item from Draft straight to Live status? A: The Dashboard assumes that if your Item is in Draft status, it is still under review. We implemented the Validate to Preview step to ensure your Items are only made Live when you are absolutely ready for them to be seen on your Portal.
Q: Why can’t I delete Items in Draft, Preview or Live status? A: Deleting an Item is permanent and deleted Items can’t be restored, only re-created or re-uploaded. To ensure this isn’t done by accident, Deleting Items is a 3-step process requiring your to Withdraw said Item(s) first.
Q: I’m trying to change Item statuses but I keep seeing this red error message:0 Items changed. 1 NOT changed (either because the transition is not allowed or the item contains validation errors).What do I do? A: This is a combination error message so we’ll break it down in two: 1. “the transition is not allowed” – this error message will appear if you try to apply an Action that isn’t valid for that Item’s current status, such as, using the Approve action on Items in Draft status, or using the Reinstate action on Items in Suspended status. We recommend checking the Changing Lot and Listing Statuses Explained guide here for a full breakdown on what actions can be applied to which statuses. 2. “the item contains validation errors” – this error message will appear if you try to apply an Action to an Item that contains missing or invalid details in one or more of the required fields (Item Title, Category, Description, Purchase Option, etc.). We recommend attempting to Draft that Item if it isn’t in Draft status already, then open it in Bulk Edit. The Dashboard will highlight the required field(s) that contain errors. Q: What is Draft status for? A: Draft status for Items is primarily for pulling your Item from the Portal and making changes and edits to it. After creating/importing and converting your Items, they will land in Preview status so that they don’t immediately show on the Portal prematurely.
Q: What is Preview status for? A: Preview status for Items largely shares the same role as Draft status, you can freely edit Items in Preview status but, compared to Draft status, those Items are one less step away from Live status. Preview status for Items is also the Dashboard’s way of telling you that Items have passed their validation check and are ready to be Approved to Live status whenever you’re ready to do so.
Q: Does Make Visible work on Items in Draft or Preview status? A: Make Visible works on Items in Preview status, but doesn’t apply to Items in Draft status. Items in Draft will remain hidden from your Portal no matter what.
Q: My Items are in Preview status and I hit Make Visible, but the Auction isn’t showing on my Portal, why? A: To be visible on your Portal, both the Auction and at least one Item must be in Live status, so if your entire Item list is still in Preview status, your Auction will not show up on your Portal.
Q: Can someone bid on an Item in Draft or Preview status? A: No, Items can only be Bid on or Purchased if they are in Live status.
Q: If I draft a Lot with existing bids on it, will that affect those bids or cancel them? A: No, drafting an Item will not affect any pre-existing Bids on it. Once the Item is back in Live status, bidding will resume from exactly where it was before you Drafted that Item*.
Changes to Opening Bid Warning – Goes without saying, but do not edit the Opening Bid amount after a Lot has received any Bids. Upon hitting Save, your Lot will be unable to receive any Bids and will tell your Bidders their “Bid is too low”. If you are experiencing this issue, re-edit the Lot and revert the Opening Bid back to the original amount.
Q: Why isn’t there a Validate button under the Actions column? A: Most of the time, if you Bulk Edit your Items in Draft status and hit Save and Finish, the Dashboard will validate and move your Items to Preview status for you. Validate isn’t a per-Item Action per se but it can be applied to Individual Items through the Validate Bulk Action (the grey Validate button above the Item List). It’s a bit of a head-scratcher but the Validate action isn’t needed most of the time, if you are in the habit of making edits after you have converted your Items and before you make your Items Live.
Q: What does Reject mean? A: Reject appears in a few areas of the Webtron Dashboard. In the context of the Item List, Reject is an Action button that will move your Items back from Preview status to Draft status. Reject also appears in the in-Dashboard Invoicing menu, but Rejecting an Invoice is a largely redundant action.
Q: Can I draft and edit an Item that has sold? A: Technically yes, but we don’t recommend doing it and it can only be done if your Sold Items are in Closed status.
Q: Can I draft and edit the final bid amount or purchase amount an Item sold for? A: No.
Q: When I Bulk Edit items in Preview status, sometimes the Dashboard makes them Live status when I hit Save and Finish, why? A: The Dashboard will do this to Items you have previously Drafted as well, it will assume you wish to make an Item Live again quickly if you have made changes to just the Item Content (Title, Summary, Description, Category or Vendor). If you do not want the Item to re-appear, pull it back into Draft status after hitting Save and Finish.
Q: Is there any way I can see just Items in Preview or Draft status? A: The Item List can be filtered in a variety of ways, if you’d like to filter it by status, click the grey Filter button at the top-left of the Item List menu, the Modify Filter panel will then appear. Under the Status section, tick the checkboxes next to each Status that you’d like to see, then click the blue Apply button at the bottom of the panel. The Item List will reload and show just the Items matching the Status filters you’ve chosen.
Q: Sometimes when I move an Item from Status to Status, the Dashboard kicks me back to the Home page, why? A: This can happen if you’re using the Modify Filter panel to show only Items matching your Status filters. We recommend hitting the Reset button at the bottom of Modify Filter to show all Items again, or tick the Statuses your Items will be moving between (e.g. if you’re editing Lots, tick the Draft, Preview and Live filters).

Q: Can I draft and edit the final bid amount or purchase amount an Item sold for?
A: No.
Q: When I Bulk Edit items in Preview status, sometimes the Dashboard makes them Live status when I hit Save and Finish, why?
A: The Dashboard will do this to Items you have previously Drafted as well, it will assume you wish to make an Item Live again quickly if you have made changes to just the Item Content (Title, Summary, Description, Category or Vendor). If you do not want the Item to re-appear, pull it back into Draft status after hitting Save and Finish.
Q: Is there any way I can see just Items in Preview or Draft status?
A: The Item List can be filtered in a variety of ways, if you’d like to filter it by status, click the grey Filter button at the top-left of the Item List menu, the Modify Filter panel will then appear. Under the Status section, tick the checkboxes next to each Status that you’d like to see, then click the blue Apply button at the bottom of the panel. The Item List will reload and show just the Items matching the Status filters you’ve chosen.
Q: Sometimes when I move an Item from Status to Status, the Dashboard kicks me back to the Home page, why?
A: This can happen if you’re using the Modify Filter panel to show only Items matching your Status filters. We recommend hitting the Reset button at the bottom of Modify Filter to show all Items again, or tick the Statuses your Items will be moving between (e.g. if you’re editing Lots, tick the Draft, Preview and Live filters).
