Purchase Options Overview – Timed Auction Items

Buy Now and Make Offer Overview

This guide provides a high-level overview of two of Purchase Options available in the Webtron Dashboard: Buy Now and Make Offer.

Timed Auctions and the Marketplace only – the Buy Now and Make Offer purchase options are only available for the Lot and Listing Item Types, both of which are not supported by Webcast Auctions. Buy Now – When Bidders become Buyers

Buy Now is a Purchase Option available for both Lots and Listings in Timed Auctions and the Marketplace. At its core, Buy Now enables a Purchase Price for both Item Types that enable a Buyer to purchase said Item outright at your set price.

Buy Now breakdown:

  • Supported Auction Types:
    • Timed Auctions and the Marketplace
      • Supported Item Types – Lot and Listing
  • Enables Item Field(s):
    • Purchase Price – sets the amount that Item can be bought for
  • Special Conditions and Considerations:
    • Purchase Cut-Off – When enabled on Lots in a Timed Auction, the Buy Now option will disappear once the Purchase Cut-Off threshold has passed. Listings are not affected by Purchase Cut-Off. (See Purchase Cut-Off for Timed Auctions)
    • Bidding Cut-Off – If the Current Highest Bid on a Lot passes the Purchase Price set for said Lot, the Buy Now button will disappear.
    • Sold and Invoicing – Lots and Listings purchased via Buy Now are auto-reconciled and can be Invoiced via in-Dashboard Invoicing immediately, but will result in multiple Invoices if that Buyer purchases or wins any other Items in that Auction.
    • Purchases are Final – Purchases made cannot be undone by Dashboard Admins. Once a Buyer clicks Buy Now, that’s it. If a Buyer reneges on their purchase, that Lot or Listing will have to be re-created.
  • Notifications:
    • Dashboard Admins – Admins added to your Purchases Notification list in your Auctioneer profile will receive an Email Notification if a Buyer purchases an Item via Buy Now.
    • Bidders/Buyers – The purchaser of the Item will receive a confirmation email after they click Buy Now informing them their Purchase was successful and they will receive an Invoice shortly. The content of this confirmation email can be edited to your preferred specifications and wording.

Make Offer – Negotiating directly with a Buyer

Make Offer is a Purchase Option available for both Lots and Listings in Timed Auctions and the Marketplace. At its core, Make Offer enables a Bidder/Buyer to submit an Offer Amount for an Item, which can then be Approved or Rejected by a Dashboard Admin.

Make Offer breakdown:

  • Supported Auction Types:
    • Timed Auctions and the Marketplace
      • Supported Item Types – Lot and Listing
  • Enables Item Field(s):
    • Display Price (Listings only) (Optional) – Sets an RRP or Estimated Price for that Listing, can be used as a cheeky way to hint at the Minimum Acceptable Offer or Reserve.
    • Purchase Price (Optional) – sets a hidden Minimum Acceptable Offer amount. Any Offers submitted below your Purchase Price amount are auto-rejected.
  • Special Conditions and Considerations:
    • Purchase Cut-Off – When enabled on Lots in a Timed Auction, the Make Offer option will disappear once the Purchase Cut-Off threshold has passed. Listings are not affected by Purchase Cut-Off and any offers made but not reviewed before Purchase Cut-Off applies can still be Accepted or Rejected, but no further offers can be made.     • Bidding Cut-Off – Any Offers on Lots must be higher than the Opening Bid and the Current Highest Bid.
    • Sold and Invoicing – Lots and Listings purchased via an Approved Offer are auto-reconciled and can be Invoiced via in-Dashboard Invoicing immediately, but will result in multiple Invoices if that Buyer purchases or wins any other Items in that Auction.
    • Purchases are Final – Purchases made cannot be undone by Dashboard Admins. Once a Dashboard Admin clicks Approve and Confirm, that’s it. If a Buyer reneges on their purchase, that Lot or Listing will have to be re-created.
  • Notifications:
    • Dashboard Admins – Admins added to your Pending Offers notification list in your Auctioneer profile will receive an Email Notification if a Bidder makes an offer. This Email Notification can be replied to by an Admin to directly reply to and communicate with the Offerer. Admins added to your Purchases notification list will also receive a confirmation email if an offer is Approved.
    • Bidders/Buyers – The offerer will receive a Confirmation email if their offer is Accepted. If an offer is Rejected, the offerer is not sent an email notification. Offers made can also be checked by the Offerer on the Item itself by clicking the orange “You have # pending offer(s)” button:

FAQ – Buy Now and Make Offer

Q: Where do I view and accept/reject Offers from?
A: Inside the Webtron Dashboard, each Timed Auction and the Marketplace will have it’s own Offer Table. This can be opened by clicking the blue Offer Table button found under the Actions column on the View Auctions page:

Q: If I reject an offer, can I undo that and accept it?
A: Accepting or Rejecting an offer is final and cannot be undone.

Q: Who can accept or reject offers?
A: Dashboard Admins with Tier 5 are the only admin tier who can open the Offer Table and accept or reject offers.

Q: How many offers can a bidder/buyer make?
A: 3 Offers per Item is the default and our recommended, but this number can be raised or reduced via the Max Offers per Item field in your Auctioneer profile’s General Settings tab:

Q: Can a bidder/buyer withdraw an offer after they’ve made it?
A: No, offers can only be Accepted or Rejected by Dashboard Admins, offers cannot be withdrawn or deleted by either an Admin or the original offerer.

Q: Can a bidder make multiple offers on an item?
A: Yes, but the number of offers is capped by your Max Offers per Item setting in your Auctioneer profile. If your Max Offers is >1, a bidder/buyer can make multiple offers on a single Item even before an offer has been reviewed.

Q: If a bidder offers a different amount via email, can I change their offer amount myself?
A: No, the bidder must submit a new offer if you agree upon a different amount, or you must accept their current offer amount and alter the Line Item Hammer amount during the Invoicing phase.

Q: Can a buy now be cancelled?
A: No, purchases made via Buy Now or accepted Offers are final and cannot be undone.
