Auto Reordering your Items (Numerical Order Reorder)
Estimated reading: 5 minutes
This guide covers how to automatically reorder your Item List in (Item Number) numerical order.
Auto Reordering – the “why” of numerical order
By default, your Items will follow the numerical order of your Items Numbers when display both inside the Item List and on your Portal’s Auction Catalogue page. However, the situation may arise in which your Item Order is out of sequence and you must reorder your Items to restore the normal numerical order.
This can occur if:
You have left gaps in the Item Creation menu or your CSV Spreadsheet and set your Item Numbers manually, then created or imported new Lots later on.
You have unintentionally manually reordered your Items during import or via Bulk Edit.
The good news is Auto Reordering can be very quick and straightforward.
Auto Reordering your Items (step-by-step)
Contiguous Items Requirement
The Auto Reorder feature in Bulk Edit is only available when all Items within a selected range are included in Bulk Edit. If you skip any Items that exist in your Item List within the selected range, the feature will be disabled and you will see the following error message after clicking Re-order:
“Cannot Reorder – Re-order is not available unless contiguous Items (ones that appear next to each other in the Auction) have been selected for Bulk Edit.”
For example:
If you draft Lots 10, 11, 12, and 14 but skip Lot 13, and Lot 13 is present in your Item List (either as a Ghost or Real Item), you cannot reorder these Lots unless you also bring Lot 13 into Bulk Edit at the same time as Lots 10-14.
However, if Lot 13 does not exist in your Item List at all, you can Bulk Edit and reorder Lots 10, 11, 12, and 14 without issue.
In short, gaps between Item Numbers only prevent reordering when an existing Item within the gap is left out of Bulk Edit or the Item Creation menu. To enable Reordering in Bulk Edit, make sure you don’t skip a checkbox when selecting your Items:
If you have just Created your Items in-Dashboard or Imported them via CSV Spreadsheet and haven’t clicked the green Convert button yet (i.e. your Items are still Ghost Items), skip to Step 3.
Step 1 – Navigate to the View Auctions page and open the Item List
To get started, log into the Webtron Dashboard and click on the Auctions & Items dropdown, then click View Auctions:
Once on the View Auctions page, look to the middle-right of the Auctions table and click the # items link under the Items column to open the Item List for that Auction:
Step 2 – Move your Items to Draft status and pull them into the Bulk Edit menu
(If you are reordering your entire Item List) Look to the left-hand side of the Item List table and click on the checkbox at the very top-left to select your entire Item List, or if you are reordering a smaller group of Items, click on the checkboxes for each of the Items you intend to re-order:
Keyboard Shortcut Tip – If you need to select a span of Items (not select all Items) you can save time by ticking checkbox for one Item, scroll down and then, before you tick the last Item in the span, hold the SHIFT key on your keyboard, then tick the last Item. This will tick every Item in between the first Item you ticked, and the last.
Once selected, click the grey Draft button above the Item List table, then click Confirm:
After the Item List reloads, your Items will show Draft under the status column. Above the Item List table, click the grey Bulk Edit button next to the Draft button to pull your selected Items into Bulk Edit:
Step 3 – Using Auto Reorder in Bulk Edit and Saving your new Item Order
After clicking the grey Bulk Edit button, the Dashboard will open the Bulk Edit menu and list your selected Items in a table.
Look to the top-left of the Bulk Edit menu, just about the Bulk Edit table you’ll find a green Re-order button, click the green Re-order button and a confirmation panel will pop-up asking the following: “Are you sure that you want to re-order all the Items by Lot Number?”. Click the blue “Re-order Items” button at the bottom of the confirmation panel to proceed::
The Bulk Edit menu will now briefly load and your Items will shortly after appear in numerical order. Double-check the Lot # column to confirm, then click the green Save and Finish button at the top-left of the Bulk Edit menu, a small confirmation panel will appear, click the blue Save button at the bottom of that panel to proceed:
The Dashboard will now briefly load, apply your Item Order changes and return you to the Item List, and you will see a yellow Confirmation message at the top of your screen confirming your “Editing successfully completed“:
Don’t forget to tick your Items and click the grey Approve button above the Item List table to move those Items back to Live status. Once in Live status, your Items will display on your Portal again.
