Introduction to Item Numbers and Reordering

Welcome to the Item Numbers and Reordering Items overview. In this guide, we’ll be giving you a brief overview of how Item Numbers work in the Webtron Dashboard, as well as a brief overview of the Reordering Items features.

Item Numbers in the Webtron Dashboard

Item Number refers to the unique Lot Number and Listing Number on each of your Items, visible inside the Webtron Dashboard and on your Portal.

Your Item Numbers can be set manually on a per-Item basis or automatically by the Webtron Dashboard. Typically this is done when you are either Creating your Items inside the Dashboard or Importing them via the CSV Spreadsheet template.

In the Webtron Dashboard’s Item Creation menu, Item Numbers can be set manually by clicking into the Item Number field here:

In the CSV Spreadsheet template, you can also set item Numbers manually by adding a number to the cells under the Lot Number column (Column B in Excel):

Both options can be left blank and the Webtron Dashboard will automatically number your Items in numerical order, starting from 1 and ascending from there.

Item “Numbers” Explained

Whilst we refer to your Lot and Listing IDs as “Lot Numbers” and “Listing Numbers” respectively, Item Numbers aren’t limited to just numerical values. The Item Number field supports Alphanumeric values (Letters and Numbers) and one type of symbol; a dash “-“.

Your Item Numbers can be formatted like these 3 examples:

  1. 10
  2. 10A
  3. 10-1

If you have multiple of a similar Item, we recommend using Alphanumeric Item Numbers to help differentiate between them, especially if each Item will have unique photos.

Dots (periods) in Item Numbers – Whilst you can set an Item Number contain a period, i.e. “10.1”, we don’t recommend doing this as it may cause issues with renaming image files. Dots are typically used to set the File Name Extension (.jpeg, .png, .tiff, etc.) and your device may panic and attempt to change the extension and break your image file. Proceed with caution but we heavily recommend using Alphanumeric Item Numbers instead of symbols.

Please Note – Item Numbers are not the same as the Reference Number (Ref. No for short) found in the Item List menu. Reference Numbers are a unique tracking ID auto-generated and managed by the Webtron Dashboard, it cannot be edited and can be ignored.

Reordering – How does it work?

Before we get into the Reorder overview, let’s quickly define Item Order.

Item Order

Definition – Item Order is the physical/visual order your Items follow on your Portal and inside the Item List in the Webtron Dashboard. By default, your Item Order follows the numerical order of your Item Numbers, but the Item Order can be set manually via the Click-and-Drag Reorder feature found inside the Item Creation menu and the Bulk Edit menu.

Reorder – a brief overview

When you draft your Items and pull them into Bulk Edit*, you’ll have access to two Reorder features:

  1. Click-and-Drag Reorder (Manual)
  2. Numerical Order Reorder (Automatic)

We’ll briefly define each feature in this guide, but for more comprehensive details and steps, we recommend reading through each feature’s dedicated guide.

*With Contiguous Numbers – This is covered in more detail in both the Click-and-Drag and Numerical Order guides, but if you intend to reorder your Item List, you must draft and pull either your entire Item List into Bulk Edit, or all of the Lots with no gaps in Item Number (i.e. you can’t reorder in Bulk Edit if you have Lots 10, 11, 12, and 14, but no 13).

Click-and-Drag Reorder Defined

Click-and-Drag Reorder is the manual option for changing your Item Order. It doesn’t require that you renumber your Items first, and allows you to change the “physical” order of your Items, rather than using Numerical Order by default.

For example, using the click-and-drag grid at the left-hand edge of both the Item Creation and Bulk Edit rows, you can hold left-click and drag a Lot up or down the list, then release left-click to set that Lot down in it’s new position in the Item Order:

Numerical Order Reorder Defined

Numerical Order Reorder is the automatic option for resetting your Item Order back to following the numerical order of your Item Numbers.

Your Item Order may slip out of numerical order if you:

  1. Use Click-and-Drag Reorder to manually change the Item Order
  2. Create or Import Items with manually set Item Numbers

Scenario 2 will only occur if you don’t pay special care when Converting your Items from Ghost to Real Item status, or if you add Items after your initial Creation/Import wave (Late additions, deleted Item replacements etc.).

Numerical Order Reorder is the quick and simple option for getting your Item List back into numerical order, just draft your entire Item List, pull all Items into Bulk Edit, select them all with the checkbox at the top-left of the Bulk Edit menu, then click the friendly green Reorder button above the Bulk Edit table:

Depending on the size of your Item List, this may take a few seconds, but it is really that easy.
