Reordering Items and Editing Item Numbers

Manually Reordering your Items (Click-and-Drag)

Estimated reading: 5 minutes

This guide covers how to change the Item Order of your Item List manually with the Click-and-Drag Reorder feature.

Click-and-Drag Reorder – the “why” of manual reordering

In almost 99% of use cases, you’ll leave your Item List to follow the typical default Item Order, this being numerical order (Lot 1, Lot 2, Lot 3 etc.) and in almost 99% of use cases you may have manually re-ordered your Lots by mistake, but here’s some examples of why you would use Click-and-Drag Reorder:

Promote Featured Lots – If you Vendor or Consignor has provided the Item Number or you don’t want to re-orient your Item List with the high-value Lots up front, Click-and-Drag Reorder enables you to set the physical/visual order your Lots will follow on your Portal without having to change the Lot Number.

For example, you want your Bidders to see Lot 40 front-and-left-of-centre in your Auction Catalogue. With Click-and-Drag Reorder you can draft your first 40 Lots, pull them into Bulk Edit and drag Lot 40 to the top of your Item List:

After you click Save and Finish, Lot 40 will now appear before Lot 1 inside the Auction Catalogue page on your Portal:

Contiguous Items Requirement

The Auto Reorder feature in Bulk Edit is only available when all Items within a selected range are included in Bulk Edit. If you skip any Items that exist in your Item List within the selected range, the feature will be disabled and you will see the following error message after clicking Re-order:

Cannot Reorder – Re-order is not available unless contiguous Items (ones that appear next to each other in the Auction) have been selected for Bulk Edit.”

For example:

  • If you draft Lots 10, 11, 12, and 14 but skip Lot 13, and Lot 13 is present in your Item List (either as a Ghost or Real Item), you cannot reorder these Lots unless you also bring Lot 13 into Bulk Edit at the same time as Lots 10-14.
  • However, if Lot 13 does not exist in your Item List at all, you can Bulk Edit and reorder Lots 10, 11, 12, and 14 without issue.

In short, gaps between Item Numbers only prevent reordering when an existing Item within the gap is left out of Bulk Edit or the Item Creation menu. To enable Reordering in Bulk Edit, make sure you don’t skip a checkbox when selecting your Items:

If you have just Created your Items in-Dashboard or Imported them via CSV Spreadsheet and haven’t clicked the green Convert button yet (i.e. your Items are still Ghost Items), skip to Step 3.

Step 1 – Navigate to the View Auctions page and open the Item List

To get started, log into the Webtron Dashboard and click on the Auctions & Items dropdown, then click View Auctions:

Once on the View Auctions page, look to the middle-right of the Auctions table and click the # items link under the Items column to open the Item List for that Auction:

Step 2 – Move your Items to Draft status and pull them into the Bulk Edit menu

(If you are reordering your entire Item List) Look to the left-hand side of the Item List table and click on the checkbox at the very top-left to select your entire Item List, or click on the checkboxes for each of the Items you intend to re-order:

Keyboard Shortcut Tip – If you need to select a span of Items (not select all Items) you can save time by ticking checkbox for one Item, scroll down and then, before you tick the last Item in the span, hold the SHIFT key on your keyboard, then tick the last Item. This will tick every Item in between the first Item you ticked, and the last.

Once selected, click the grey Draft button above the Item List table, then click Confirm:

After the Item List reloads, your Items will show Draft under the status column. Above the Item List table, click the grey Bulk Edit button next to the Draft button to pull your selected Items into Bulk Edit:

Step 3 – Using Click-and-Drag Reorder in Bulk Edit and Saving your new Item Order

After clicking the grey Bulk Edit button, the Dashboard will open the Bulk Edit menu and list your selected Items in a table. Look to the left-hand edge of each row in the Bulk Edit table, you should see a small grid of 4 squares at the start of each row:

On the Item you’d like to reorder, left-click on the grid at the start of the row, hold that click and drag you mouse cursor vertically (up or down) the table. Each Item will shift out of the way, indicating where you can drop your selected Item:

Scroll without releasing left-click – You can freely use your mouse’s scroll wheel or use two fingers to scroll up with your trackpad without releasing left-click, your chosen Item will remain selected and follow you up the page.

Release left-click to drop your selected Item in it’s new Item Order position, and repeat as needed:

Once you’ve finished manually reordering your Items, click the green Save and Finish button at the top-left of the Bulk Edit menu:

After the Dashboard loads for a moment, you’ll be returned to the Item List, with the Item List table now reflecting the reorder changes you have made:

Don’t forget to select and Approve your Items to move them back to Live status, and we also recommend opening your Portal and verify your new Item Order by opening the Auction Catalogue page:
