Attaching Documents to Items via Bulk Edit

Editing Items Pre-Requisites

To edit your items in the Bulk Edit menu, you’ll first need to:

  1. Ensure your Items have been converted from Ghost status to Preview status
  2. Open the Item List for your Auction
  1. Move your Items from their current status to Draft status

If your Items are already in either Draft or Preview status, skip to Step 1. If your Items are in Live status, select them using the checkboxes at the left-hand edge of the Item List table, then click the Draft action above the table:

When moved from Live to Draft status, your selected Items will temporarily disappear from your Portal. They will only re-appear and re-open for bidding/purchase once they are moved back from Draft/Preview to Live status.

Step 1: Opening your Items in Bulk Edit

Once you’ve opened your Item List and moved your Items to Draft status, use the checkboxes at the left-hand edge of the Item List table to select the Items you’d like to edit, then click the Bulk Edit action above the Item List table:

The Bulk Edit menu will now load and display your selected Items inside a table.

Step 2: Opening the Attachments panel for each Lot

You’ll now see the Bulk Edit Items table. This table houses all of the editable fields for your Items, with the Media column enabling you to add additional photos, attachments and YouTube videos to your selected Items.

To reach the Media column, use the button at the top-right of your screen. This will switch to the opposite end of the Bulk Edit table, with the Media column appearing 3rd from the right:

Under the Media column you’ll find 3 icons, Documents, YouTube Embeds, and Photos. Each Icon will display in black and white if that Item hasn’t had any of that attachment type added. Once uploaded, the respective Icon will fill in with colour.

To open the Attachments panel for a specific Item, click any of the Icons in that Item’s row.

Step 3: Uploading Documents to each Item

After clicking on one of the Icons under the Media column, the Attachments panel will now appear at the centre of your screen. To attach Documents to this Item, you can either click the Choose Files… button to select them from your File Explorer/Finder, or switch to your File Explorer window and drag-and-drop your Document files into the highlighted area:

You can attach the following File Types to both your Auctions and your Items:

Word Document (.docx)
Adobe PDF (.pdf)
CSV Spreadsheet (.csv)

There is no cap on the total number of Documents you can attach to either your Auctions or your Items, but the max file size per file is 20MB.

Step 3A: Label your Documents (Optional)

Once you have added any documents to the Attachments panel, a “Label” field will appear next to the file name and file size of each Document. Setting a Label will add an additional name to your Document, that will appear alongside the file name on your Portal. This step is optional.

Step 4: Save and Upload your Attachments

Once you have added each of your Documents to the Attachments panel, click the Save button at the bottom of the panel:

Clicking Save will begin the upload process, and you’ll see a small progress bar at the top of the Attachments panel. Once finished, the panel will disappear and you can repeat the process for all of your Items in Bulk Edit.

Step 5: Save and Finish

Once you have completed adding Documents (or any additional photos or YouTube Embeds), you can now click Save and Finish at the top-right of the Bulk Edit menu. A confirmation window will appear at the centre of your screen, click Save to proceed:

You’ll now be returned to the Item List and will see a blue “Editing successfully completed” message at the top of your screen.

Item Status Reminder

After making changes to your Items in Bulk Edit, you may need to manually return your Items to Live status. Check the Status column inside the Item List table, if your Items are in Preview status, tick them using the checkboxes at the left-hand edge of the table, then click the Approve action above the table, and click Confirm:

Your Items will now be moved to Live status and will be visible on your Portal again.
