The Webtron Dashboard is divided up into Menus, Pages, Tables and Lists, and it can be a bit overwhelming at first to find your way around or get to the specific page or Bid Table you need, this guide will give you some brief overviews of each page in the Webtron Dashboard, as well as some helpful tips that point the way to some of the useful lists and reports available to you.
This guide will be divided into sections; Dashboards, Users & Groups, Auctions & Items, and Content. These are the dropdown options in the navigation menu of the Webtron Dashboard.
Dashboards
Dashboards – Home
The Dashboard Home page is the landing page for the Webtron Dashboard, you’ll see this page whenever you log into the Dashboard and it’s useful for re-orienting yourself if you get stuck at any stage.
To navigate back to the Dashboards Home page in the Webtron Dashboard, click the Dashboards dropdown and then click Home.
Users & Groups
Users & Groups – Users
Users is our terminology for the Bidders who have filled out the Create Account form on your Auction Portal. You can access the Users list in the Webtron Dashboard by clicking the Users & Groups dropdown and then click Users.

Vendors is our terminology for consignors. As a Dashboard Admin, you have the ability to create new Vendor profiles and assign a Vendor profile on a per-Item level. You can access the Vendors list in the Webtron Dashboard by clicking the Users & Groups dropdown and then click Vendors.

Users & Groups – Contacts
Contacts refers to Contact profiles that can be assigned on a per-Auction basis. You can access Contacts list in the Webtron Dashboard by clicking the Users & Groups dropdown and then click Contacts.

Auctions & Items
Auctions & Items – View Auctions
The View Auctions menu in the Webtron Dashboard is a central point for Creating and Managing your Auctions. From the View Auctions page you can Create a New Timed Auction, Create a New Webcast Auction, and manage your current and past Auctions. By default, the View Auctions page will show your Auctions that are in Live status. The View Auction page can be divided into three segments:
View Auctions filters – The View Auctions page contains a Modify Filter option that enables you to filter the page by Auction Title keywords, Auction Closes Between dates, and Auction Status (Draft, Preview, Live, Reconciliation, and Archived).
New Auctions options – The View Auctions page also contains two green buttons above the View Auctions table, New Timed Auction and New Webcast Auction, clicking either option will open the Auction Creation menu. The Auction Creation menu is detailed for each Auction type in the Creating a Timed Auction and Creating a Webcast Auction guides.
View Auctions table – The View Auctions page houses the View Auctions table, which in turn contains all of your Auctions and Marketplace. The View Auctions table is divided into several columns and rows, each individual Auction occupies separate rows.
View Auctions table – Dates to Bidder Registrations columns
Starts or Closes
In the View Auctions table inside the Webtron Dashboard, the Starts or Closes column contains the set End Date and Time for Timed Auctions and the Start Date and Time for Webcast Auctions. If the dates appear in a different timezone from yours, float your mouse over the date for each Auction, after 2 seconds the Webtron Dashboard will show that Date and Time in your local timezone.
Auction Title
In the View Auctions table inside the Webtron Dashboard, the Auctions column contains the Auction Title you set when creating that Auction. This Auction Title also acts as a hyperlink, clicking the Auction Title will open the Edit Auction Details menu.
Auction Status
In the View Auctions table inside the Webtron Dashboard, the Status column contains the Auction Status, the five Auction Statuses are:
In the View Auctions table inside the Webtron Dashboard, the Hidden column contains the Auction Hidden toggle. The Auction Hidden toggle is off by default and will appear as a circular grey tick icon, clicking the tick icon will turn it green and toggle Hidden Auction on, this will hide your Auction from the Current Auctions page on your Portal.
Auction Contacts
In the View Auctions table inside the Webtron Dashboard, the Contacts column contains the Auction Contacts list. If there are no Contacts assigned to an Auction, the Contacts column will show an Add New button for each Auction. Contacts refers to Contact profiles that can be assigned on a per-Auction basis. Auction Item List
Each Auction in the Webtron Dashboard has it’s own dedicated Item list, appearing in the View Auctions table as blue hyperlink “# items” text under the Items column. The Item list contains all of the Item Management options, these options are detailed in our Editing Items and Lots guide. Here’s how you can access the Item list for an auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions page by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the centre-right of the View Auctions table, under the Items column you will find a blue hyperlink: “# items” (if you have unconverted created or imported Items, you will see a second “# ghost items” hyperlink). Click the blue “# items” hyperlink to open the Items menu for that Auction.
Auction Bidder Registrations
Each Auction in the Webtron Dashboard has it’s own dedicated Bidder Registration list, with this menu housing all of the Bidders who have Accepted the Terms and Conditions for that Auction. The Bidder Registrations list contains several of the auction-specific Bidder Management controls, these options are details in our Managing Bidders and Registrants guide. The Bidder Registrations list is filtered based on Bidder Registrant status:
Pending
Approved
Suspended
Awaiting Deposit (Unsupported Feature)
Insufficient Data
Issue with Deposit (Unsupported Feature)
Here’s how you can access the Bidder Registrations list for an auction:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the centre-right of the View Auctions table, under the Bidders column you will find two hyperlinks: “# pending” and “# approved“, Pending contains the Bidders awaiting manual approval, whilst Approved contains all Bidding Approved Bidders. Click either of these hyperlinks to open the Bidder Registrations menu with the respective filter activated.
View Auctions table – Actions column
The Actions column inside the View Auctions table contains several important links and options for each Auction, with certain specific options visible or hidden depending on the status of each Auction. Each of the links and options found in the Actions column are defined below in order of appearance.
Admin Privileges Warning – Options detailed below may not appear due to your Admin account’s assigned access Tier. Contact us at support@webtronoa.com for more details.
Approve (Auction Actions column)
Visibility Condition – Auctions in Preview status.
Inside the View Auctions table and under the Actions column, the Approve button will appear on Auctions in Preview status. Clicking Approve will ask you to confirm your intent to move your Auction from Preview to Live status, click the green Confirm button to move your Auction from Preview to Live status.
Archive (Auction Actions column)
Visibility Condition – Auctions in Draft, Preview, and Reconciliation status.
Inside the View Auctions table and under the Actions column, the Archive button will appear for Auctions in Draft, Preview and Reconciliation status. Auction Archived is a permanent closed status, Auctions in Archived status cannot be edited or changed back to any previous Auction status. Clicking Archive will ask you to confirm your intent to move your Auction from it’s current status to Archived, click the green Confirm button to move your Auction to Archived status.
Reconcile (Auction Actions column)
Visibility Condition – Auctions in Live status.
Inside the View Auctions table and under the Actions column, the Reconcile button will appear for Auctions in Live status. Auction Reconciliation is a permanent closed status, Auctions in Reconciliation status cannot be edited or changed back to any previous Auction status, only moved forward to Archived status. Edit (Auction Actions column)
Visibility Condition – Auctions in Draft, Preview and Live status.
Inside the View Auctions table and under the Actions column, the Edit button will appear for Auctions in Draft, Preview and Live status. Clicking Edit will open the Edit Auction Details menu and enable you to edit any of your set Auction details. The Edit button does not appear on Auctions in Reconciliation or Archived status, as Reconciliation and Archived are closed statuses.
Offer Table (Auction Actions column)
Visibility Condition – Auctions in Draft, Preview, Live, Reconciliation, and Archived status.
Inside the View Auctions table and under the Actions column, the Offer Table button will appear for Auctions in all statuses. Clicking Offer Table will open the Offer Table menu, with the Offer Table containing all Offers made on Lots or Listings in that Timed Auction or the Marketplace. Offers in the Offer Table can be reviewed and either Accepted/Approved or Rejected. Auctions with outstanding Offers cannot be moved from Live to Reconciliation status, Offers are also preserved and accessible in Reconciled and Archived Auctions.
Bid Table (Auction Actions column)
Visibility Condition:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace. Auction Status – Auctions in Draft, Preview, Live, Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Tier 3 or higher.
Inside the View Auctions table and under the Actions column, each Auction in the Webtron Dashboard has it’s own dedicated Bid Table, with the Bid Table recording every Bid and Auto Bid placed on each Item in that Auction. From the Bid Table, you can see near-real-time Bidding activity on each Lot, Suspend Lots from bidding, as well as Cancel Bids and Disable Auto-Bids. Here’s how you can access the Bid Table for each Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 –Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Bid Table button for each Auction. Click the blue Bid Table button to open the Bid Table for that specific Auction.
Webcast (Auction Actions column)
Visibility Conditions:
Auction Type – Webcast Auctions. Auction Status – Webcast Auctions in Preview, Live, Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Tier 2 or higher.
Inside the View Auctions table and under the Actions column, each Webcast Auction in the Webtron Dashboard has its own Webcast button. The blue Webcast button is a link to open the Webcast Clerking Console for that Webcast Auction. Here’s how you can access the Webcast Clerking Console for each Webcast Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 –Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Webcast button for each Webcast Auction. Click the blue Webcast button to open the Webcast Clerking Console for that specific Webcast Auction.
Evict (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions and the Marketplace. Auction Status – Auctions in Draft, Preview, Live, Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Tier 5.
Inside the View Auctions table and under the Actions column, you will find the blue Evict button on each Auction and the Marketplace. Evict is a function that clears the cache for your Auction and its Item list.
When to click Evict – Evict should only be clicked if you are experiencing errors accessing the Edit Auction Details menu or the Item list for that auction. Contact support@webtronoa.com immediately before or after clicking Evict for further advice.
Summary Table (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace. Auction Status – Auctions in Draft, Preview, Live, Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Tier 3 or higher.
Inside the View Auctions table and under the Actions column, the Summary Table in the Webtron Dashboard provides a brief tally of the results per-Auction, updating every 10 seconds as your Auction progresses. Each figure is defined in our Exports and Reports guide. Here’s how you can navigate to the Summary Table for each Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Summary Table button for each Auction. Click the blue Summary Table button to open the Summary Table for that specific Auction.
Invoices (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace. Auction Status – Auctions in Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Office, Webtron Admin Office Manager, Webtron Admin Tier 3 or higher.
Inside the View Auctions table and under the Actions column, the blue Invoices button is a link to the Invoice Management menu for that Auction. The Invoice Management menu contains the options to Generate Invoices, Manage Generated Invoices, and Manage Line Items. Here’s how you can navigate to the Invoice Management menu for each Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Invoices button for each Auction. Click the blue Invoices button to open the Invoice Management menu for that specific Auction.
Translate Auction (Auction Actions column)

Marketing Data (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace. Auction Status – Auctions in Live, Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Tier 5.
Inside the View Auctions table and under the Actions column, the blue Marketing Data button is a link to the Export Marketing Data menu for that Auction. The Export Marketing Data menu contains a Bidder export organised by Categories assigned to Items in that Auction. Here’s how to navigate to the Export Marketing Data menu:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue “Marketing Data” button for each Auction. Click the blue “Marketing Data” button to open the Export Marketing Data menu for that specific Auction.

Export (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions and Webcast Auctions. Auction Status – Auctions in Preview, Live, Reconciliation, and Archived status. Admin Tier Required – Webtron Admin Tier 4 or higher.
Inside the View Auctions table and under the Actions column, clicking the blue Export button will generate a Auction Results Report CSV spreadsheet for that Auction. The Export will be saved to your local device and, depending on the status of your Auction, contain the current or final results of your Auction, such as Hammer Price, and Bidder details (Full Name, Contact Information, and Full Address details). Click here to open our Webtron Dashboard Exports and Reports guide. Here’s how to find and generate a new Auction Results Report CSV:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue “Export” button for each Auction. Click the blue “Export” button to begin generating the Auction Results Report CSV, this will automatically start downloading to your device’s Downloads folder, or your browser may ask you where you would like to save it.
Reports (Auction Actions column)
The blue Reports button found in the View Auctions table is part of a sunsetted Reports feature that is no longer available. We recommend referring to the Reports menu in Vendor+ instead.
Content
Content – Upload/Export Item Content
Visibility Conditions:
Auction Type – Timed Auctions and Webcast Auctions. Auction Status – Auctions in Preview, Live, and Reconciliation status. Admin Tier Required – Webtron Admin Tier 4 or higher.
The Content dropdown in the Webtron Dashboard contains the Upload/Export Item Content menu. Choosing a sale and the available language will in the Export panel will enable you to generate the Item Content Export spreadsheet, this spreadsheet contains:
The Auction Title and Description.
All Item Numbers, Titles, Summaries and Descriptions.
The Item Content Export can then be edited or translated, then re-uploaded to your selected sale and language in the Upload panel.
DO NOT PROCEED WITH USING THE UPLOAD/EXPORT ITEM CONTENT MENU WITHOUT FIRST CONSULTING WITH WEBTRON SUPPORT AND REVIEWING OUR FULL CONTENT MANAGEMENT GUIDE.

Inside the View Auctions table and under the Actions column, each Webcast Auction in the Webtron Dashboard has its own Webcast button. The blue Webcast button is a link to open the Webcast Clerking Console for that Webcast Auction. Here’s how you can access the Webcast Clerking Console for each Webcast Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Webcast button for each Webcast Auction. Click the blue Webcast button to open the Webcast Clerking Console for that specific Webcast Auction.
Evict (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions and the Marketplace.
Auction Status – Auctions in Draft, Preview, Live, Reconciliation, and Archived status.
Admin Tier Required – Webtron Admin Tier 5.
Inside the View Auctions table and under the Actions column, you will find the blue Evict button on each Auction and the Marketplace. Evict is a function that clears the cache for your Auction and its Item list.
When to click Evict – Evict should only be clicked if you are experiencing errors accessing the Edit Auction Details menu or the Item list for that auction. Contact support@webtronoa.com immediately before or after clicking Evict for further advice.
Summary Table (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace.
Auction Status – Auctions in Draft, Preview, Live, Reconciliation, and Archived status.
Admin Tier Required – Webtron Admin Tier 3 or higher.
Inside the View Auctions table and under the Actions column, the Summary Table in the Webtron Dashboard provides a brief tally of the results per-Auction, updating every 10 seconds as your Auction progresses. Each figure is defined in our Exports and Reports guide. Here’s how you can navigate to the Summary Table for each Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Summary Table button for each Auction. Click the blue Summary Table button to open the Summary Table for that specific Auction.
Invoices (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace.
Auction Status – Auctions in Reconciliation, and Archived status.
Admin Tier Required – Webtron Admin Office, Webtron Admin Office Manager, Webtron Admin Tier 3 or higher.
Inside the View Auctions table and under the Actions column, the blue Invoices button is a link to the Invoice Management menu for that Auction. The Invoice Management menu contains the options to Generate Invoices, Manage Generated Invoices, and Manage Line Items. Here’s how you can navigate to the Invoice Management menu for each Auction in the Webtron Dashboard:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue Invoices button for each Auction. Click the blue Invoices button to open the Invoice Management menu for that specific Auction.

Marketing Data (Auction Actions column)
Visibility Conditions:
Auction Type – Timed Auctions, Webcast Auctions, and the Marketplace.
Auction Status – Auctions in Live, Reconciliation, and Archived status.
Admin Tier Required – Webtron Admin Tier 5.
Inside the View Auctions table and under the Actions column, the blue Marketing Data button is a link to the Export Marketing Data menu for that Auction. The Export Marketing Data menu contains a Bidder export organised by Categories assigned to Items in that Auction. Here’s how to navigate to the Export Marketing Data menu:
Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue “Marketing Data” button for each Auction. Click the blue “Marketing Data” button to open the Export Marketing Data menu for that specific Auction.

Export (Auction Actions column)

Inside the View Auctions table and under the Actions column, clicking the blue Export button will generate a Auction Results Report CSV spreadsheet for that Auction. The Export will be saved to your local device and, depending on the status of your Auction, contain the current or final results of your Auction, such as Hammer Price, and Bidder details (Full Name, Contact Information, and Full Address details). Step 1 – In the Webtron Dashboard open the View Auctions menu by clicking the Auctions & Items dropdown, then click View Auctions.
Step 2 – Look to the right-hand side of the View Auctions table, under the Actions column you will find the blue “Export” button for each Auction. Click the blue “Export” button to begin generating the Auction Results Report CSV, this will automatically start downloading to your device’s Downloads folder, or your browser may ask you where you would like to save it.
Reports (Auction Actions column)
The blue Reports button found in the View Auctions table is part of a sunsetted Reports feature that is no longer available. We recommend referring to the Reports menu in Vendor+ instead.
Content
Content – Upload/Export Item Content
Visibility Conditions:
Auction Type – Timed Auctions and Webcast Auctions.
Auction Status – Auctions in Preview, Live, and Reconciliation status.
Admin Tier Required – Webtron Admin Tier 4 or higher.
The Content dropdown in the Webtron Dashboard contains the Upload/Export Item Content menu. Choosing a sale and the available language will in the Export panel will enable you to generate the Item Content Export spreadsheet, this spreadsheet contains:
The Item Content Export can then be edited or translated, then re-uploaded to your selected sale and language in the Upload panel.
