Introduction to the Webtron Dashboard

Users & Groups Overview

All of your Bidders, Vendors and Contacts in one place.

This Guide covers the individual menus and options contained within the Users & Groups dropdown in the Webtron Dashboard.

The Users & Groups dropdown is your access point for the following menus:

  • Users – Your User (Bidder) List
  • Auctioneers – Your Auctioneer Profile(s)
  • Vendors – Your Vendor List
  • Contacts – Your Contacts List

Limited Availability – Auctioneer Profile access is currently in Beta, and limited to Webtron Admin Tier 5 (the Highest Level of access for your Admins).

Users

The Users & Groups > Users menu displays your User/Bidder list. These are individuals or companies that have completed the Create Account form on your Portal.

By default, the Users menu will display recent signups from the last 10-14 days, but you can click the yellow Modify Filter button at the top-left of the menu to expose your options for filtering and searching your Bidder list.

The Users & Groups > Users menu is your starting point for Viewing your Bidders’ profile details, Exporting your Bidder list, Manually Activating a Bidder, Suspending their Auction registration (Ejecting from an Auction), and/or Banning/Locking their Account.

Auctioneers

Your Auctioneer profile(s) is located inside the Users & Groups > Auctioneers menu. Your Auctioneer profile contains the following information:

  • Your Business Details – Business Name (Name of Auctioneer), Primary Contact Details, and Primary Contact Address.
  • Financial Details – Your default Premiums and Taxes (Buyer’s Premium, BP Tax, Hammer Tax and Charges Tax percentages), your default Bank Details, and additional Webtron Invoicing settings.
  • Increment Controls – Your Auto Increments table and default Clerking Manual Increments.
  • Portal Bidding Options – Toggles to show or hide various Bidding Information elements on your Portal.
  • Notifications – Pending Registrant, Purchase Made and Contact Seller Notification admin recipients list.
  • Branding – Your Default Auctioneer profile Logo.

For security reasons, access to Auctioneer profiles is restricted. If you would like to organise Auctioneer profile access and training, contact us at support@webtronoa.com.

Different Locations, One Portal – You can have more than one Auctioneer profile. This is especially handy if your business has multiple locations operating independently and you want to avoid cluttering the Dashboard’s View Auctions page, but also want to show all of your Auctions on the one Portal. Contact us at support@webtronoa.com to discuss setting up additional Auctioneer profiles.

Vendors

As with any Auction, you may have Consignors/Vendors who submit Lots for your Auction.

Vendor profiles can be assigned to your Items, either in-spreadsheet, after upload or whilst creating items in-Dashboard. Which Vendor profile is assigned to your Items can also be changed via Bulk Edit.

You can create individual Vendor profiles inside the Users & Groups > Vendors menu or use one Vendor profile for all Items, but we recommend creating individual Vendor profiles, as these will organise the Reports and Exports available to your in the Dashboard by Vendor.

To create a Vendor profile, you will need;

  • Their First and Last Name.
  • Email Address.
  • Postal/Business Address.
  • Minimum of 1 Contact Number (Landline, Mobile, or Fax).

Vendors are not public, your Bidders cannot see which Vendor profile is assigned to any of your Items. Vendor information is also restricted for Webtron Dashboard Admins, only Admins with Vendor list, Item list and Summary Table access can see Vendor assignments.

Contacts

Contact profiles are an easy way to provide your Bidders will the contact information of the people behind your Auction.

Contacts can be categorised as people who have the following information:

  • Auction Information
  • Bidder Approval
  • Pickup/Removal Information
  • Pickup/Removal and Payment Information

Contact profiles can be assigned on a per-Auction basis, with their contact information shown in the Essential Information panel for that Auction.

To create a Contact profile, click Users & Groups > Contacts, and then click the Create New Contact button at the top-left of the Contacts menu. To complete a Contact profile, you will need the following information:

  • Their First and Last Name.
  • Email Address.
  • Purpose (As listed above).
  • Comments (Additional misc. details) (Optional)
  • Contact Address (We recommend matching it to your Business/Office Address)
  • Contact Number (Landline or Mobile)

This feature is also completely optional, if you would prefer not showing Contact profiles, we provide your Business/Office Contact No. in the Contact Us button at the top of your Portal by default.
