This guide covers how to Reconcile your Auctions after bidding has fully concluded. The Reconciliation process is required for your Auction to appear as an option in VendorPlus’ Invoice Generator, and the process differs slightly between the two Auction Types (Timed and Webcast).
Reconciliation is Permanent – Once Reconciled, an Auction cannot be returned to Live or Preview status. We recommend reviewing our Pre-Reconciliation Checklist, then proceed with Reconciliation only when ready.
Timed Auctions – Live to Reconciliation (Required for Invoicing)
Reconciling a Timed Auction is handled inside the Webtron Dashboard, before continuing with this guide please ensure you are logged into the Webtron Dashboard and have opened the Auctions & Items > View Auctions page.
Step 1 – Double-check your Item List
For a Timed Auction, ensure all Lots and Listings are either in Sold (Closed), Unsold (Closed) status. If there are any Lots or Listings in Draft, Preview, Suspended or Withdrawn status, tick them using the checkbox on the left-hand side of the table and click the grey Withdraw button above the Item List. Once Withdrawn, click the grey Delete button to remove them entirely.
End Date Warning – You cannot fully Reconcile a Timed Auction if your Auction or Items within it have not passed their End Date and Time. If any Items have not passed their End Date or End Time, Withdraw those Items.
Once you have deleted your Withdrawn Items, return to the Auctions & Items > View Auctions page.
Step 2 – Click Reconcile under the Actions column
Open the Auctions & Items > View Auctions page and look to the right of the Auctions table, each Auction listed will have it’s own Actions dropdown button. Click the Actions dropdown, then click the Reconcile option (top of the list):
Clicking Reconcile will open a panel with three options:
Proceed (with emails)
Proceed (but don’t send emails)
Cancel
If you are ready to proceed, click Proceed (but don’t send emails), but you can also click Cancel to abort if you aren’t ready to proceed yet.
Unsupported Feature – We do not recommend clicking Proceed (with emails) under any circumstances.
After clicking Proceed (but don’t send emails), another panel will appear with two options:
Confirm
Cancel
If you’re ready to proceed, click Confirm:
The Dashboard will now load for a moment as it moves your Timed Auction from Live to Reconciliation status, and a confirmation message will appear once the process has finished:
Click Close to dismiss the confirmation panel, your Timed Auction will now show as Reconciliation under the Status column.
Your Timed Auction is now:
Ready for in-Dashboard Invoicing
Ready for VendorPlus Xero Invoicing
Will now appear in your Portal’s Past Auctions menu (if unhidden and enabled)
Webcast Auctions – Live to Reconciliation
Reconciling a Webcast Auction is handled inside the Webtron Dashboard, before continuing with this guide please ensure you are logged into the Webtron Dashboard and have opened the Auctions & Items > View Auctions page.
Step 1 – Double-check your Item list
For a Webcast Auction, ensure all Lots are either in Sold (Reconciled), or Withdrawn status. To do this, open the Auctions & Items > View Auctions page and click on the # items link to the Item list.
If there are any Webcast Lots in Draft, Preview or Suspended status, tick them using the checkbox on the left-hand side of the table and click the grey Withdraw button above the Item list. It’s safe to use the Select All checkbox at the top-left edge of the table, as Lots in Sold – Reconciled status cannot be Withdrawn and will be unaffected.
Once all Unsold Lots are in Withdrawn status, return to the Auctions & Items > View Auctions page.
Step 2 – Click Reconcile under the Actions column
Open the Auctions & Items > View Auctions page and locate the blue Reconcile button under the Actions column on the right-hand side of the page.
This will open a panel with three options:
Proceed (with emails)
Proceed (but don’t send emails)
Cancel
If you are ready to proceed, we recommend clicking Proceed (but don’t send emails), but you can also click Cancel to abort if you aren’t ready to proceed yet.

Modify Filter Notice – By default, the View Auctions page will show Auctions in Live status. Navigating away or refreshing the View Auctions page may cause your Auction in Reconciliation status to disappear from the Auctions table. Click the yellow Modify Filter button at the top-left of the menu, then tick the Reconciliation checkbox and click the blue Apply button at the bottom of the panel. Your Auctions in Reconciliation status will now re-appear inside the Auctions table.
