Step 1: Log into your VendorPlus and navigate to the Auction Manager
Once you’ve logged into your VendorPlus account, tap on the Navigation Menu at the top-right of your screen and tap Auction Manager:
After a few seconds, you’ll see the Auction Manager menu. Tap the green + New Sale button at the top-right of the menu to get started:
Step 2: Set your Sale Title, Sale Type and Sale Description
You’ll now see the New Sale form, with the first three fields being:
Sale Title
Sale Type
Sale Description
Set your Sale Title first by tapping into the field and typing it out. The Sale Title can be up to 128 characters in length and acts as the overall name of your Auction, appearing on both the Current Auctions and Auction Catalogue pages on your Portal:
Once you’ve set your Sale Title, tap the Sale Type dropdown and tap Timed:
Once set to Timed, add a Sale Description below, your Sale Description can be up to 500 characters in length:
Step 3: Feature your Auction and set your Buyers Premium and Additional Sales Taxes
Below the Sale Description you’ll find three checkboxes:
Featured – ticking Featured will add a special orange Featured badge to this Auction on your Portal and keep it at the top of the Current Auctions page, regardless of End Date. Ticking Featured is optional.
Hidden – this feature is currently in development, we recommend leaving Hidden unticked.
Sales Tax Required – ticking Sales Tax Required will unhide the Additional Sales Tax percentage fields, these being:
Tax on Hammer (Hammer Tax)
Tax on Buyers Premium (BP Tax)
Tax on Charges (Charges Tax)
Tick the checkboxes as needed (if you are levying additional taxes such as GST or VAT on the Hammer or Buyers Premium, you must tick Sales Tax Required):
Next, review your Buyers Premium percentage. If you need to change it, tap into the field and fill in a new value in double decimal format (i.e. 16.5% will be entered 16.50):
Step 4: Set your Sale Starting and Closing Dates
Below the Buyers Premium field you’ll find two rows, Sale Starting and Sale Closing. First, set your Sale Starting Date by tapping on the field or clicking on Calendar icon at the end of the field, then set your Sale Starting Time by tapping on the field or clicking on the clock icon at the end of the field:
Sale Starting Reminder: The Sale Starting Date refers to when Bidding will open for this Auction. If both the Auction and at least 1 Item are both in Live status, your Auction can be visible on your Portal. The Sale Starting Date simply sets when bidding, purchasing and making offers will become available.
Then below that, set your Sale Closing Date by tapping on the field or clicking on Calendar icon at the end of the field, and finally, set your Sale Closing Time by tapping on the field or clicking on the clock icon at the end of the field:
Step 5: Set your Auction Viewing Dates (Optional)
You have the option of specifying if your Bidders will need to book an appointment before they can view the Items on offer in this Auction. Here’s a breakdown of Viewing:
By Appointment only – No and Yes with Dates – Ticking either of these options will require you to fill in a date span below the checkboxes (Viewing Starts and Viewing Ends) with the only formatting rule being that the Viewing Ends Date/Time must be set to before your Sale Closing Date/Time
By Appoinment only – Yes, no dates – Ticking this option will hide the Viewing Starts and Viewing Ends fields.
After picking your Appointment setting, we recommend filling in the contact details of who will be handling inspection into the Viewing Comment field:
Step 6: Set your Stagger End Times (Optional)
Below the Viewing fields, you’ll find a small slider to enable Stagger End Times. Enabling Stagger End Times is completely optional, if you do choose to enable it you’ll need to select a Stagger Increment and then set the number of Items for each Stagger Group or Stagger Batch:
Stagger End Times will add the Time Increment you set to each of your Stagger Groups (i.e. setting the Increment to 120 seconds and the Every field to 3 will cause Lots 1-3 to close at your selected Sale Closing Time, and Lots 4-6 will be set to close 2 minutes later*).
*Bidding Extension: Stagger End Times only changes the set End Time of your Items, all Items are still subject to the Bidding Extension rate that you set.
Enabling Stagger End Times is optional, if left disabled you can skip ahead to the next field.
Step 7: Set your Sale Location:
Below the Stagger End Times slider you’ll find the Location fields for your Auction. We will have set up a few default addresses for you, tap on the Autofill Address dropdown and select one of the addresses listed, and each field in the Location section will be pre-filled with that address:
Otherwise you can set the Location details manually by tapping into each field.
Step 8: Select your additional Sale Options
Below the Sale Location fields you’ll find a few extra Sale Options:
Currency – this will be pre-filled based on your default currency
Timezone – this can be left blank and your default timezone will be used
Bidding Extension – tap on the dropdown and select a Bidding Extension rate or leave blank to use the No Extension option
Purchase Cut-Off – this option will hide the Buy Now and Make Offer buttons on your Lots if you are using those Purchase Options, Listings are not affected by Purchase Cut-Off
Clearance Starting Date, Clearance Closing Date and Clearance Comment – we recommend leaving these options blank and specifying your Auction’s collection details during the invoicing phase
Step 9: Tap Create to finish
Once you’ll filled in all of the required fields, tap on the green Create button to finish setting up your Timed Auction:
You’ll now land on the Item List for that Auction, with a blue + New Lot button at the top-right of your screen:
You can start creating Lots and Listings for this Timed Auction whenever you’re ready!
Creating Timed Auctions in VendorPlus
